Ballarat

Step Up Support Services is a growing disability support company providing support for clients within their homes and in the community.

We're after someone to join our scheduling and operations teams whose main focus is keeping our staff trained, compliant, and ready to deliver great support — with scheduling and compliance monitoring rounding out the role when training tasks ease off. This is a full time, Monday to Friday, 9am–5pm role based in our Ballarat office, with a hybrid week thrown in every 5–6 weeks when it's your turn to hold the after-hours phone.

Training & Scheduling Assistant

Step Up Support Services is a growing disability support company providing support for clients within their homes and in the community.

We're after someone to join our scheduling and operations teams whose main focus is keeping our staff trained, compliant, and ready to deliver great support — with scheduling and compliance monitoring rounding out the role when training tasks ease off. This is a full time, Monday to Friday, 9am–5pm role based in our Ballarat office, with a hybrid week thrown in every 5–6 weeks when it's your turn to hold the after-hours phone.

The Role:

Your main focus is coordinating staff training needs for the team, making sure everyone meets the compliance requirements tied to client programs. That means booking staff into internal training, supporting them to complete external training courses, and keeping on top of new staff onboarding from a training perspective.

When training tasks aren't front and centre, you'll pick up scheduling and compliance work to support the wider team:

- Communicating with staff and clients over the phone to action support requests.
- Adding shifts to be replaced when staff are on leave and sending shift offers.
- Processing staff responses.
- Checking rosters for errors and correcting them.
- Monitoring staff hours and processing adjustments.
- Keeping an eye on ongoing staff compliance more broadly.
- Full training provided.

The After-hours Phone:

Our casual support staff work around the clock, so someone always needs to be reachable after hours.

This rotates through the team every 5–6 weeks (more often over holiday periods).

In the week you're holding the phone, you'll work from home for all 7 days, only your base hours (up to 32 for that week), and get 9am–5pm off during the week to make up for it.

You’ll need to be able to be included in this roster to be considered for the role.

What you'll need:

- To be friendly and engaging with people, in person and on the phone.
- Very explicit English is essential given the nature of disability phone support.
- High attention to detail - you're a bit of a list-ticker at heart.
- To be genuinely comfortable with tech. We run on customised project management software, and you'll need to build your own workflows and automations, not just follow someone else's.
- A bit of a Karen, in the best way - we're in a compliance-heavy industry and need someone who makes sure things actually get done.

- The ability to multitask, prioritise, and problem-solve calmly under pressure - sometimes from home, sometimes in a team, in the office.
- To be based in Ballarat or the surrounding area.
- Valid Australian work authorisation.
