About the role
Smilogy is looking for a commercially minded Treatment & Patient Coordinator to take ownership of one of the most important parts of our business: turning patient interest into booked and completed treatment.
This is not a traditional dental reception or administration role.
It is a hands-on growth role responsible for managing patient enquiries, following up treatment opportunities, improving treatment acceptance, filling available appointment capacity and making sure valuable leads do not disappear through lack of follow-up.
You will work closely with our clinicians, operations and marketing teams and take responsibility for the patient journey from the first enquiry through consultation, treatment acceptance and booking.
The goal is simple: create an outstanding patient experience while helping Smilogy grow.
What you will be responsible for
- Responding quickly to new patient enquiries across phone, email and digital channels
- Speaking with prospective patients, understanding what they are looking for and guiding them to the right appointment
- Managing the lead and treatment opportunity pipeline
- Following up patients after consultations and treatment plan presentations
- Helping patients understand treatment options, next steps, timing and payment arrangements
- Proactively following up patients who have not yet proceeded with recommended treatment
- Re-engaging previous enquiries and patients with outstanding treatment
- Ensuring every active opportunity has a clear next action and follow-up date
- Working with clinicians to identify treatment opportunities requiring follow-up
- Monitoring appointment books and helping fill cancellations and unused clinical capacity
- Supporting strong diary utilisation across our clinicians
- Tracking enquiry volumes, appointments, treatment acceptance and conversion
- Working with marketing to understand which campaigns and lead sources are producing results
- Maintaining accurate CRM and practice management records
- Providing visibility over the sales and treatment pipeline to management
- Identifying barriers that are preventing patients from proceeding and helping find practical solutions
There will also be an operational component to the position, including clinician scheduling, coordination and reporting across Smilogy's clinics and other dental services. The existing role already includes responsibility for progressing leads and opportunities, monitoring conversion and improving appointment utilisation.

The person we are looking for
You are confident talking to people and comfortable having conversations about treatment, cost and decision-making.
You enjoy following things through.
If a patient says,
"I need to think about it", your instinct is not to close the file and hope they call back. You understand when and how to follow up professionally and help the patient make a decision.
You will probably be someone who

Dental experience would be highly regarded.
You may currently be working as a:
Experience with high-value dental treatment such as clear aligners, crowns, veneers, implants or dentures would be particularly valuable.
However, we are equally interested in someone with strong consultative sales and customer service experience who has the right personality and commercial mindset.
