About the Role
We're looking for an experienced Recruitment & Payroll Administrator to support an Australian labour hire business across recruitment administration, payroll processing, compliance, and Workers Compensation and Return to Work administration.
This is fundamentally an administration role, and we're looking for someone who genuinely enjoys working with lists, processes, systems and detail.
The most critical requirement is exceptional customer service and relationship-building capability, combined with previous labour hire experience. This role interacts regularly with candidates, field employees and clients, so you'll need to be confident, professional and comfortable communicating with different stakeholders.
You'll also need to be comfortable working with numbers, spreadsheets and multiple systems. Experience with FastTrack is highly desirable, but you don't need to know every system from day one. What matters is that you're confident with technology and aren't intimidated by learning new software.
If you get satisfaction from keeping things accurate, organised and up to date, can juggle competing priorities without becoming overwhelmed, and have exceptional follow-through, this could be a great fit.
Key Responsibilities
Recruitment Administration
- Manage support and timesheet inboxes
- Answer incoming telephone enquiries professionally and courteously
- Provide a high level of customer service to candidates, field employees and clients
- Prepare daily Kickstart reports and record meeting commentary
- Maintain candidate, client and placement records in FastTrack
- Monitor visa, licence and qualification expiry requirements
- Escalate compliance requirements where necessary
- Manage job maintenance activities, including extending and cancelling placements
- Coordinate pre-employment medical assessments
- Distribute weekly safety communications to field employees
- Prepare and distribute employee birthday communications
- Set up new client records and maintain supporting documentation
- Conduct candidate file audits to ensure legislative and company compliance requirements are met
- Maintain database accuracy through regular cleansing and record maintenance
Payroll Administration
- Collect and accurately enter timesheet data within required deadlines
- Work confidently with numbers, spreadsheets and payroll information
- Maintain records of child support deductions and updates
- Respond to payroll-related queries from employees and managers
- Provide accurate payroll information to the Finance Manager in a timely manner
- Prepare separation certificates and employment-related correspondence
- Complete debtor setup and maintenance in FastTrack
- Create and maintain superannuation fund records in FastTrack
- Maintain Work Industry Codes and payroll-related system information
- Prepare quarterly wages reports and supporting documentation
- Generate and distribute casual conversion correspondence
- Monitor pay increases and process adjustments in accordance with applicable awards and client agreements
- Maintain pay and bill agreements within FastTrack
- Maintain accurate payroll and employee records
Workers Compensation & Return to Work Administration
- Manage end-to-end Workers Compensation and Return to Work administration
- Establish claim and job records within FastTrack
- Prepare and submit Workers Compensation claim information to brokers and insurers
- Provide weekly payroll and payslip reporting to Workers Compensation stakeholders
- Maintain accurate pay records
- Reconcile reimbursement payments
- Keep Workers Compensation and RTW documentation accurate and up to date
- Communicate professionally with relevant stakeholders throughout the process
Customer Service & Stakeholder Support
- Build positive working relationships with candidates, field employees and clients
- Respond to enquiries promptly and professionally
- Communicate information clearly and accurately
- Listen carefully and understand stakeholder needs before responding
- Follow issues through to resolution rather than simply passing them on
- Maintain a professional and service-focused approach across every interaction
What We're Looking For
- Previous labour hire experience is highly important
- Strong customer service and relationship-building skills
- Previous administration experience
- High level of attention to detail and accuracy
- Excellent written and verbal communication skills
- Comfortable working with numbers, spreadsheets and payroll information
- Strong organisational and time-management skills
- Ability to manage multiple competing priorities without becoming overwhelmed
- Exceptional follow-through and ownership
- Confident using technology and learning new systems
- Intermediate to advanced Microsoft Office skills
- Intermediate to advanced Excel skills
- Ability to work independently while contributing effectively to a team
Highly Preferred
- Experience using FastTrack
- Experience using 3CX or another soft-phone system
- Experience with Microsoft Outlook and Teams
- Payroll administration experience
- Experience managing Workers Compensation and Return to Work cases
- Knowledge of Australian Modern Awards
- Previous recruitment or staffing agency experience
- Experience working directly with candidates, field employees and clients

- Maintain accurate candidate, employee, client and placement records
- Process timesheet and payroll administration accurately and on time
- Keep FastTrack records and supporting documentation up to date
- Manage competing administrative priorities effectively
- Ensure compliance requirements are monitored and escalated appropriately
- Support Workers Compensation and RTW processes accurately
- Demonstrate strong follow-through across all assigned tasks
- Become confident using the business's systems and technology
- Identify opportunities to improve administrative processes and efficiency
