Job Description
Coordinate day-to-day office operations to ensure a clean, safe, and functional workspace.

- Coordinate day-to-day office operations to ensure a clean, protected, and functional workspace.
n
- Manage facility services including cleaning, waste management, security, and utilities.
n
- Liaise with landlords, contractors, and service providers regarding building maintenance and repairs.
n
- Oversee planned and reactive maintenance activities, ensuring minimal disruption to operations.
n
n
Occupational Health & Safety (OH&S;)
n
n
- Support implementation and ongoing compliance with workplace health and safety policies and procedures in line with Victorian legislation.
n
- Conduct workplace inspections, risk assessments, and safety audits.
n
- Maintain incident and hazard reporting systems, ensuring timely investigation and resolution.
n
- Coordinate safety training, inductions, and emergency preparedness (e.g. fire wardens, evacuation drills).
n
- Lia ise and report regularly to OMICRON's international network of OH&S; professionals.
n
- Promote a culture of safety and continuous improvement.
n
n
Access & Security Management
n
n
- Administer access control systems (e.g. fobs, keys, visitor management).
n
- Ensure secure ac cess protocols are followed by employees, contractors, and visitors.
n
- Maintain access registers and manage onboarding/offboarding access requirements.
n
n
Administrative Support
n
n
- Provide general administrative support related to facilities and office management.
n
- Maintain records, reports, and documentation relating to facilities, quality, safety, and procurement.
n
- Assist with office-related projects, relocations, or improvements.
n
- Engage, coordinate, and monitor third-party contractors and service providers.
n
- Ensure all contractors comply with OH&S; requirements and site policies.
n
- Review service agreements and ensure deliverables are met.
n
n
What we're looking for

Skills & Experience
n
n
- Proven experience in office coordination, facilities management, or a similar role.
n
- Knowledge of OH&S; legislation and practices (Victoria preferred).
n
- Exposure to quality management and internal auditing.
n
- Experience in procurement, vendor management, and contractor coordination.
n
- Strong organisational and multitasking skills.
n
- Excellent communication and stakeholder management abilities.
n
- Ability to work independently and manage competing priorities.
n
- Comfortable working in cross-functional and international teams .
n
- Able to provide a National Police Check if requested
n
n
Qualifications
n
n
- Certificate or Diploma in Business Administration, Facilities Management, or related field (desirable).
n
- OH&S; certification or training (desirable).
n
n
