About the role
To manage the overall operation of the Legislative Member of Parliament's office, serve as the primary contact and reference point for community issues, and support the Member with parliamentary responsibilities, while representing the Member when required.
Key responsibilities
- Develop and implement efficient office procedures and processes that support effective running of the Member's office, including workflow management and accurate and timely completion of tasks
- Manage and coordinate reception, and mail/email correspondence, including providing support and assistance where possible to constituents in accordance with One Nation policies and/or the Member's position
- Oversee budgets management including reconciliations, electoral accounts and entitlements, and travel for all staff and the Member
- Provide advice and support for the resolution of constituent issues requiring detailed research and investigation, while acting as an escalation point for complex or sensitive matters
- Oversee travel arrangements including bookings and lodgement of travel claims and reconciliations of entitlements to ensure compliance
- Ensure accurate and timely record keeping, database and file management across the office
- Maintain confidentiality and discretion when managing sensitive information in a political setting
- Establish and maintain effective working relationships across Member offices, key stakeholders, government departments, ministerial offices and constituents
- Supervise, support and manage office staff and volunteers including recruitment, training, HR record management and allocation of staff resources when required
- Monitor Parliamentary business, ensuring the Member has access to accurate and concise policy briefings on the matters before the Parliament
About you
- Previous experience working in a parliamentarian office, or similar workplace
- Adaptable in a fast-moving environment, with the ability to prioritise and plan ahead
- Exceptional people management skills including leading and overseeing a complex office environment including a team/staff while fostering a collaborative and high-performing team
- Experience managing budgets, finances and reporting requirements
- Experience in developing and implementing effective and efficient office policies and procedures including workflow management
- Excellent written and verbal communication skills including high-level dispute resolution skills
- Strong organisation, prioritisation and time management skills
- The ability to be flexible and demonstrate initiative
- Exceptional interpersonal skills, along with experience in building and maintaining strong relationships across the community with multiple diverse stakeholders, recognising the political implications of the relationship
- Strong computer skills (Microsoft suite) including Microsoft Teams, Co Pilot and Planner
