Heritage Glass Products is seeking a Project Administrator to join our dynamic team. This is a full-time position based in Airport West, VIC ****. As Project Administrator, you will provide essential administrative and coordinative support to our project management operations, ensuring smooth project delivery and maintaining strong organisational standards. This role is critical to the success of our construction projects, as you will be the backbone of our project coordination efforts, liaising between teams, clients, and stakeholders to keep projects on track and within scope.

Key responsibilities
n
Coordinate project schedules, timelines and milestones to ensure projects are delivered on time and within budget
n
Prepare and maintain comprehensive project documentation, including contracts, drawings, specifications and correspondence
n
Liaise with clients, contractors, suppliers and internal teams to facilitate effective communication and project coordination
n
Monitor project progress and assist in identifying and resolving potential issues or delays
n
Manage project budgets, purchase orders and invoicing in accordance with company procedures
n
Prepare regular project reports and status updates for senior management and stakeholders
n
Maintain accurate project records and filing systems, both digital and physical
n
Assist with site visits, site meetings and project inspections as required
n
Support the project management team with administrative duties including scheduling, correspondence and data entry
n
Ensure compliance with relevant construction standards, safety requirements and company policies
n
What we're looking for
n
A minimum of 2-3 years' experience in project administration or a similar administrative role within the construction industry
n
Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and project management software
n




Excellent organisational and time management skills with the ability to juggle multiple projects simultaneously
n
Exceptional communication and interpersonal skills, with the ability to liaise effectively with diverse stakeholders
n
Meticulous attention to detail and accuracy in documentation and record-keeping
n
A solid understanding of construction terminology, processes and project management principles
n
Proven ability to work independently and as part of a collaborative team environment
n
Problem-solving capabilities and adaptability in a fast-paced industry
n
Relevant qualifications such as a Diploma in Construction Management, Project Management Certificate or equivalent would be advantageous
n
Knowledge of Work Health and Safety (WHS) principles and compliance is desirable
n
