Decode Group is seeking an experienced
Contracts Administrator
to join our growing residential construction team in Newcastle. This is a key role supporting the successful delivery of high-quality, design-led residential projects across the region.
Working closely with the
Senior Contracts Administrator and Project Manager
, you will play a pivotal role in managing subcontractors, procurement, and contract administration to ensure projects are delivered safely, on time, and within budget, while upholding Decode Group's standards for quality and client experience.
Key Responsibilities
Procure subcontractors and suppliers for residential construction projects, including preparation and issue of detailed scopes of work aligned with the construction program
Prepare, review, and administer subcontract agreements in accordance with head contract requirements
Manage subcontractor performance against agreed scopes, program milestones, and budget outcomes
Assess and process subcontractor claims, invoices, variations, and extensions of time (EOTs)
Prepare and administer head contract progress claims to clients
Assist with cost control, cashflow management, forecast revisions, and project financial reporting
Maintain accurate cost tracking, procurement schedules, and project registers (including concrete and reinforcement)
Support tender processes including scope development, tender analysis, and subcontractor engagement
Assist in assessing delay notices, EOT claims, and potential liquidated damages
Coordinate procurement programs and off-site manufacturing or supply activities
Maintain a thorough understanding of all residential scopes of work across the project lifecycle
Assist with subcontract administration, including preparation of monthly Final Forecast Costs (FFCs)
Support compliance with WHSE, environmental, and traffic management requirements
Ensure all variations are fully costed, approved, and authorised prior to commencement
Establish and maintain site-based cost controls and delay records where required
About You
You are a proactive, detail-oriented Contracts Administrator with strong commercial awareness and experience delivering residential construction projects. You enjoy working in a collaborative team environment and take pride in contributing to well-organised, efficiently delivered builds.
Essential Requirements
Tertiary qualification or Diploma in Building, Construction Management, Quantity Surveying, or a related discipline.
Minimum 3 years' post-qualification experience in construction contract administration, preferably within Class 2 residential construction projects.
Sound understanding of construction budgets, cost control, forecasting, cash flow management, and financial reporting.
Proficiency in Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Microsoft Project.
Experience with construction procurement, contract administration, and job cost management systems such as CHEOPS, ProcurePro, Payapps, or similar platforms.
Experience using Aconex or comparable document control and project collaboration platforms.
Understanding of Class 2 residential construction processes, documentation, compliance requirements, and project delivery.
Strong communication, organisational, coordination, and time-management skills.
Ability to manage multiple priorities, deadlines, and project requirements while working collaboratively with builders, consultants, subcontractors, suppliers, and the wider project team.
Robust attention to detail and a demonstrated commitment to quality, compliance, and accurate project documentation.
