About the role
In this role you will be responsible for ensuring the Bank'spremises across all locations are safe, well-maintained and operationallyefficient. The role oversees building services, including cleaning, securityand maintenance, and manages service provider contracts to ensure qualityservice delivery within budget. Reporting to the Chief People Officer, keyresponsibilities include:
Ensuring that all facilities and premises across all BOSbranches and Head Office are safe and well maintained
Monitor, record and manage repairs and maintenance to allpremises in consultation with our external facilities manager (currentlyColliers)
Manage cleaning and facilities vendors,
office equipmentproviders and all other services and contractors for all locations
Manage security system for head office and branches inconsultation with our external security provider (currently Chubb)
Manage the combination codes register and key registersforall branches and proximity card register for head office
Check and verify department's invoices, prepare purchaseorders and approve payments in our finance system (TechOne)
Monitor and diarise lease agreements and servicecontracts/agreements for all branches
Maintain compliance with all contract and control assessmentrequirements within Protecht to meet risk obligations
Manage the procurement of adhoc purchases of officesupplies, furniture and equipment
Monitor stocks and oversee the ordering of printing andstationery supplies for head office and all branches
Assist the Chief People Officer with adhoc tasks or projectactivities
All about you
We are seeking someone who has the following qualifications,skills and experience:
Minimum 5 years' experience working in a premises orfacilities role, or a highly administrative role
Experience within a banking or qualified servicesenvironment desirable
Strong administrative and organisational experience
Sound knowledge of Microsoft Office programs and or internalfacilities management software (eg. Chubb)
Demonstrates initiative and proactively identify key issuesand implement sound action in a timely and decisive manner
Establish productive relationships and deliver level ofservice to all stakeholders within required time frames
