About the Role
Our patients come to us at a turning point - living with missing teeth, failing dental work, or a smile they've hidden for years.
Receptionist Responsibilities
Welcoming patientsand making them feel comfortable, cared for, and confident from the moment they arrive
Managing appointments, phone calls, and emailswith professionalism, warmth, and attention to detail
Coordinating with dentists, hygienists, and nursesto keep schedules running smoothly and on time
Handling administrative tasks, including patient records, data entry, correspondence, and filing
Processing payments, invoices, and health fund claimsaccurately and efficiently
Maintaining accurate patient informationwithin the practice management system
Supporting day-to-day practice operations, including scanning, documentation, and general office duties
Staying positive, organised, and calm, even during busy periods
Taking ownership of the front desk and patient experience, ensuring a consistently high standard of service

Key Responsibilities as a Patient Coordinator
Convert inbound enquiries intobooked consultationsthrough structured, high-quality conversations
Present treatment plans, fees, andfinance options(Humm, Zip, super release, payment plans) with confidence
Guide patients through hesitation and decision-making withclarity, not pressure
Coordinate complex treatment cases (IV sedation, GA, lab timelines, surgical schedules)
Manage and maintain aclean, active CRM pipeline
Act as thekey point of contactbetween patients, clinicians, and the front-of-house team
About You
You're a strong communicator who builds trust quickly and genuinely enjoys helping people navigate important decisions.
Experience insales or consultative roles(healthcare, aesthetics, property, hospitality, or similar)
Confidence discussingfees, finance, and closing decisions
High emotional intelligence - you adapt your communication style with ease
Strong organisation and follow-through - nothing slips through the cracks
A genuine interest inhealthcare and patient outcomes
Dental experience is not required - we'll teach you everything you need to know.
