Job Description
You will manage the finance function for VirtualStaff365, taking the entire finance and business-administration function off the CEO and running it properly, independently, and to a rhythm he can rely on without chasing.

You will be hands-on in the ledger one hour and presenting to the CEO the next. This role offers three jurisdictions, real complexity, and full ownership, reporting directly to the CEO. Approximately ***** hours per week, adaptable, with month-end peak of approximately 1-2 full days.

Key responsibilities

Own the month-end close across three entities
n
Maintain the books in Xero to a high standard and oversee the Philippine ledger maintained by the offshore accounting firm
n
Reconcile intercompany loan accounts monthly to nil variance
n
Deliver entity P&L; and Balance Sheet and provide finance inputs to the monthly dashboard pack
n
Review and approve month-end and irregular client invoicing before it is issued
n
Own collections end-to-end: proactive follow-up, structured escalation, and firm but relationship-safe pressure on slow payers
n
Run Australian payroll end-to-end and ensure all entities are funded ahead of every payroll cycle
n
Prepare and lodge BAS,



IAS and other Australian tax obligations; liaise with tax accountant and corporate secretarial providers
n
Own a single compliance calendar covering every statutory obligation
n
Document written procedures for every recurring finance process and strengthen internal controls
n

About you
n
n
CA or CPA qualified, or equivalent experience with a strong track record
n
10+ years as a Financial Controller, Finance Manager or senior accountant, ideally in an SME
n
Expert-level Xero — not just familiar with it
n
Solid Australian payroll, superannuation, BAS and payroll tax knowledge
n
Multi-entity and multi-currency experience
n
Genuinely comfortable operating solo, hands-on, with 1 offshore report
n
Absolute discretion and integrity
n
Self-directed and reliable; things you own get finished, on time, without reminders
n
You explain numbers in plain English to a non-finance audience
n
Systems-minded: you'd rather fix the process than repeat the workaround
