About Us
Sumi Windows is a Sydney manufacturer and installer of commercial and residential aluminium windows and doors. From our factory at Sefton NSW we design, fabricate, powder coat and install custom aluminium and glass systems, including sliding and double hung windows, bi-folds, double glazing, louvres, curtain walls and shop fronts. Our business has continued to grow and we work with builders and home owners across Sydney.
About the Role
We seek a reliable permanent full time administrator to assist the director and operations team. You will administer our window and door projects from order confirmation through to installation and handover, maintaining project schedules and registers, analysing project data and coordinating information between the factory, installation crews, suppliers and clients. Technical design and engineering decisions remain with the Operations Manager.
Duties & Responsibilities
Plan and administer aluminium window and door projects from order confirmation through manufacture, delivery and installation.
Prepare and maintain project schedules and Gantt charts, and monitor progress against approved milestones.
Maintain project risk, issue and action registers, and **escalate delays** to the Operations Manager.
Prepare, review and negotiate project variations, including changes to sizes, finishes, glazing and delivery sequence.
Collect and analyse project data, including timesheets, production output, material usage and costs.
Prepare weekly project progress, cost and performance reports for management.
Maintain project documentation registers, including shop drawings, revisions and AS **** compliance certificates.
Raise and track purchase orders for aluminium, glass and hardware against the project program.
Coordinate scheduling between the factory, installation teams, suppliers, builders, architects and clients.
Coordinate installation mobilisation, including site inductions, licences, site access and delivery logistics.
Maintain Work Health and Safety, equipment and inspection registers for factory and site activities.
Compile project close-out packs, including as-built records, warranties and compliance certificates.
Selection Criteria
Formal qualifications are not essential. On-the-job training will be provided, and relevant hands-on working experience in NSW will be highly regarded.
Minimum 1 year of experience in project administration or project coordination.
Demonstrated ability to apply project management methodology and tools, including schedules, Gantt charts and risk registers.
Experience with construction or manufacturing project documentation and shop drawings.
Strong Microsoft Excel skills and high attention to detail.
Excellent communication skills and the ability to manage competing deadlines.
