OnTalent is proudly partnering with Sterling Veterinary Group, a growing network of specialist and emergency veterinary hospitals across Australia and New Zealand, to appoint an experienced and highly organised Executive Assistant to support their Chief Executive Officer and Chief Financial Officer.

The Opportunity

Reporting to the CEO, you will provide confidential, high-level executive and administrative support across a broad range of responsibilities. You will be a trusted partner to the CEO and CFO, helping to ensure the smooth running of the executive office, supporting governance processes and keeping priorities moving forward.

You will:

- Act as a trusted right hand to the CEO and CFO, providing proactive support across planning, communication, administration and coordination.

- Manage complex diaries, coordinate travel and accommodation, and anticipate competing priorities before they arise.

- Coordinate leadership, Board and Committee meetings, prepare materials, capture minutes and track actions through to completion.

- Prepare reports, presentations,



correspondence and executive documentation with a high level of accuracy and professionalism.

- Manage workflows, records and executive office processes to ensure information is handled efficiently and confidentially.

- Support financial administration activities, including invoice processing, expense reconciliation and compliance requirements.

- Build strong working relationships with stakeholders across the organisation and act as a professional first point of contact for the executive office.

- Contribute to strategic projects and continuous improvement initiatives across the business.

About You

You are an experienced Executive Assistant who brings initiative, sound judgement and genuine warmth to everything you do. You are highly organised, adaptable and proactive, with the ability to manage competing priorities while maintaining exceptional attention to detail.
You are equally comfortable supporting busy executives, engaging with Board members and senior stakeholders, and managing the operational details that keep an executive office running smoothly.
To be successful, you will bring:

- Demonstrated experience providing senior executive support in a dynamic and fast-paced environment.

- Exceptional written and verbal communication skills and a high level of professionalism.

- Advanced Microsoft Office skills, including Outlook, Word, Excel, Teams and PowerPoint.





- Experience coordinating meetings, taking minutes and managing follow-up actions.

- Strong organisational and problem-solving skills, with the ability to manage multiple priorities and deadlines.

- Experience using systems such as SharePoint, online travel booking platforms or similar business tools.

- High levels of discretion and confidentiality when handling sensitive information.

- A collaborative, service-oriented approach and a genuine desire to support others to succeed.
