About the role

This is one of those rare roles that doesn't exist yet anywhere else — because we're building it. Upstate is a full-service Northern Beaches real estate agency, 70+ people across residential sales, leasing, property management, commercial, projects, concierge, marketing, finance, and operations. We're already using AI tool by tool, department by department — now we want someone to turn that into a real system: agents working across the business, a living map of how it all runs, and a central intelligence layer that makes every team faster with the people we already have.

You'll report straight to the Partnership team, with genuine scope to shape what AI looks like here from the ground up. Nobody at Upstate has done this before either — this is a journey we're on together, and you'll be at the front of it. Do this well and you won't just build our AI capability, you'll build yourself into one of the most in-demand skill sets in the country. We want to invest in that — your growth is the point, not a side effect.

Key responsibilities

- Build AI agents for individual departments plus an orchestrator layer that connects them and reports up.

- Map how the business runs, department by department, and turn it into a living org chart of people, systems, and agents.

- Build a central intelligence layer — meeting transcripts, documents, department knowledge — usable by agents and by the team, instead of siloed across 10+ separate accounts.

- Prioritise opportunities by time saved, error reduction, and client/team impact, with a business case for each.

- Build reusable, documented systems, not one-off fixes.





- Train department heads and teams to use and trust what you build; monitor adoption, retire what doesn't work.

- Keep it all consistent with Australian privacy law and Upstate's compliance obligations.

About you

- Working understanding of databases, CRMs, and contact data.

- Broad understanding of marketing and reporting, and how they connect.

- Curious and hands-on — comfortable trying, breaking, and fixing things.

- Systems thinker who can read how a business runs and find the shortest path to better.

- Strong stakeholder skills — you'll be in every division, so you need to earn trust fast and explain technical ideas simply.

- Self-directed, comfortable owning a broad mandate with minimal hand-holding.

- AI/automation exposure or real estate experience a bonus, not a requirement.
