About the role

Based in our Head Office in Essendon Fields, with hybrid working arrangements available, an excellent career opportunity exists for a Procurement Operations Coordinator who has a strong desire to contribute and participate in the exciting opportunities arising within a dynamic, technology business with growth and expansion plans.

Working collaboratively with key internal and external stakeholders, this position is responsible for the day-to-day coordination of procurement activity, coordinating the workload of remore procurement staff, and maintaining the accuracy and reporting of procurement data. Additionally, the role coordinates freight and customs administration for inbound and outbound shipments.

Some of the key responsibilities include:

- Allocate and sequence work for remote-based procurement team members.
- Maintain visibility of open actions, shortages and late orders, and coordinate follow-up to closure.
- Act as the coordination point between Procurement and internal stakeholders.
- Coordinate inbound and outbound shipments with freight forwarders and couriers against agreed carrier arrangements.
- Track shipments, follow-up delays and advise stakeholders of revised ETAs.
- Prepare and check shipping and customs documentation.
- Create and maintain purchase orders in the ERP system against approved requisitions and agreed terms.
- Maintain accuracy and completeness of procurement data in the ERP sysyem, to include data cleansing.

Skills and experience

Experience





- Must be an Australian Citizen or have Permanent Residency.
- Minimum of 3+ years experience in procurement, purchasing, supply chain or a related operational role.
- Demonstrated experience coordinating and following up workload across multiple internal stakeholders and work sections.
- Proficiency in Microsoft Office applications, particularly Excel (pivot tables, lookups and report building).
- Experience using ERP Systems, preferably M1 or a similar manufacturing ERP.
- Strong working knowledge of Incoterms
- Experience with import/export freight forwarding or related logistics activity.

Skills:

- Robust verbal and written communication skills and an ability to maintain excellent relationships with a range of key stakeholders, to include key decision makers.
- Ability to work collaboratively with geographically dispersed teams.
- Good organisational skills with an ability to plan and prioritise competing work requirements and work towards tight deadlines.
- Strong analytical and problem-solving skills with a high degree of attention to detail.
- Adaptable and able to work autonomously and in dynamic, fast paced team environment.
- Proactive and reactive problem solving skills with an ability to “think outside the box”.

- Experience coordinating offshore or shared-service resources.
- Experience in manufacturing, technology or engineering environments.
- Ability to interpret Bills of Materials
- Experience producing procurement reports or operational dashboards.
