About the Role
Churwell Pty Ltd is seeking an experienced and highly capableExecutive Assistantto provide high-level support to two Directors.
This is a varied and trusted position suited to someone who is more than a traditional assistant.
You will work closely with the Directors across their personal and business affairs, helping to keep day-to-day matters organised, ensuring important tasks are followed through, and providing practical support across a diverse portfolio of businesses, investments and property interests.
A decent understanding offinance and business administrationwill be highly valued, we can help train.
The ideal candidate will be comfortable working with financial information, invoices, payments, accounts and reporting, and will have the commercial awareness to understand the context behind the tasks they are managing.
Key Responsibilities
Executive & Personal Support
- Provide proactive day-to-day support to both Directors
- Manage calendars, appointments, meetings and competing priorities
- Coordinate travel, accommodation and other personal and business arrangements
- Prepare correspondence, documents, reports and presentations
- Manage incoming requests and ensure matters are followed up and completed
- Maintain confidentiality when dealing with sensitive personal and business information
- Anticipate the Directors' needs and proactively identify tasks requiring attention
Finance & Business Administration
- Assist with day-to-day financial administration across the Group
- Process and coordinate invoices, payments, recurring payments and expense-related matters
- Assist with accounts payable and receivable administration
- Review financial information and identify discrepancies or items requiring follow-up
- Assist with bank, accounting, tax, insurance and other financial administration
- Maintain accurate records and spreadsheets
- Liaise with accountants, financial institutions, insurers, property managers, suppliers and other external advisers
- Assist with financial reporting, reconciliations and general business analysis where required
Property, Investments & General Business Support
- Assist with administration relating to commercial and residential property
- Coordinate with property managers, tenants, landlords, agents and professional advisers
- Assist with lease, insurance and property-related documentation
- Support the Directors with information gathering and research for business and investment decisions
- Assist with projects and ad hoc matters across the Group
- Take ownership of tasks from initial request through to completion
About You
We are looking for someone who isorganised, commercially minded, proactive and highly trustworthy.
You will ideally have:
- Previous experience as an Executive Assistant, Office Manager, Finance Administrator or similar role
- Confidence working with numbers
- Experience with invoices, payments, reconciliations, and financial management
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Excellent organisational and time-management skills
- The ability to manage multiple priorities and work to deadlines
- Strong initiative and the ability to work independently
- Good judgement and discretion when handling confidential information
- Confidence communicating with senior executives and external professional advisers
- Strong Microsoft Office skills, particularly Excel
The Person
The successful candidate will be someone whodoesn't just wait to be told what to do.
You will be comfortable taking a request from the Directors, understanding what is required, working out the next steps, coordinating with the relevant people and seeing the matter through to completion.
You will have an eye for detail but also understand the bigger picture. You should be comfortable moving between executive support, finance administration, property matters, business projects and personal administration throughout the day.
Most importantly, you will be someone the Directors cantrust to get things done.
