As Service Coordinator, you will be the operational backbone of our Service Department. You will coordinate technicians, schedule maintenance and repair works, communicate with clients, monitor job progress and ensure our service commitments are delivered efficiently and professionally. You'll need to be comfortable juggling competing priorities, solving problems as they arise and keeping things moving when plans inevitably change. You'll work closely with our Service Supervisors, technicians, administration and management teams to deliver a high level of customer service while maintaining efficient service operations.

Key responsibilities

- Coordinate and schedule maintenance, repairs, inspections and testing of fire protection systems
- Allocate jobs to technicians based on location, skills, availability and priority
- Manage the daily workflow of field technicians and respond to changing priorities
- Communicate with clients regarding bookings, access requirements, job progress, reports and follow-up works
- Monitor outstanding jobs and proactively follow up delays, access issues, parts and additional works
- Review technician job notes, photos and service documentation to ensure information is complete and accurate
- Identify jobs requiring quotations, variations or further rectification works
- Assist with preparing and following up quotes and variations




- Coordinate return visits and remedial works
- Ensure service documentation and compliance requirements are completed within required timeframes

About you

- Previous experience in service coordination, scheduling, administration or a similar operational role
- Experience within the fire, electrical, plumbing, HVAC, construction, facilities or other trade/service industries will be highly regarded
- Strong communication skills and confidence dealing with clients, technicians and management
- Excellent organisation and time management skills
- High attention to detail and accurate data entry skills
- The ability to prioritise competing demands and work to deadlines
- Solid problem-solving skills and the ability to think on your feet
- A calm and professional approach when things don't go to planGood computer skills and confidence learning current systems
- Experience with service/field management software such as Simpro, Uptick or similar is advantageous, but not essential
