Vehicle Coordinator – Fleet & Depot Operations

Our client is Australia's leading refrigerated truck supplier, delivering premium transport solutions to the food services industry. With strong national growth underway, they are seeking an organised, customer-focused Vehicle Coordinator to support daily rental activity and depot operations at their Townsville site.
This is not just a desk-based role — it's a role that has you working with customers, suppliers, and internal teams, from allocating payments and handling customer account enquiries through to helping a customer out on the forecourt. It's a genuine all-rounder position.
About the role
As the VehicleCoordinator, you’ll play a key role in managing rental activity, fleet coordination, and customer interactions while helping keep depot operations running smoothly. You’ll work closely with workshop teams, customers, and internal stakeholders to ensure vehicles are available, compliant, and presented for hire.
Accounts and invoicing form a significant part of the role, supporting the operation day to day — this is a hands‑on, all‑rounder position within a busy depot environment.
Your responsibilities
Rental, Fleet & Depot Operations:
- Coordinate daily rental bookings, fleet movements, and vehicle availability
- Manage vehicle handovers, returns, and customer enquiries
Accounts & Administration:
- Prepare and process rental, repair, and service invoicing
- Support accounts receivable and payable related to rental activity
- Manage payment allocation and debtor follow‑up
- Ensure rental documentation and systems are accurate and up to date
- Handle general ad hoc administrative tasks to support the depot and accounts function
General:
- Ensure compliance with company procedures and EHS requirements
- Contribute to improving rental, fleet, and depot processes
- Work independently while being a reliable part of the depot team
What we're looking for
We’re seeking individuals who:
- Come from a customer service and admin background — dealership, claims, or fast‑paced admin environments are ideal
- Have strong PC skills and are comfortable working across different software systems
- Are efficient and outcome‑focused — able to close out a task and move straight onto the next
- Have experience with invoicing, payment allocation, and debtor management
- Are organised and able to manage competing priorities, including ad hoc admin demands
- Communicate confidently with customers and suppliers
- Can work autonomously while supporting a wider team
Desirable (not essential):
- Exposure to trucks, light commercial, or heavy vehicles
- Vehicle rental or fleet management experience
- Experience using Xero and/or Salesforce
- HR licence or willing to obtain with our assistance
We’ll teach you our systems and our ways — but we need someone who already knows their way around a PC and software.
