Victoria Harbour Medical Centre commenced operations on September 20th, 2004, as the first medical facility in the Docklands precinct. Position Summary :
The Medical Receptionist is responsible for organising appointments, maintaining accurate patient records and providing professional administrative and customer service support to ensure the smooth and efficient operation of the practice while delivering an exceptional patient experience. All duties are carried out in accordance with practice policies, procedures and confidentiality requirements.

- Previous reception or administration experience.
- Excellent communication and customer service skills.
- Previous experience in a medical practice.
- Best Practice or similar medical software experience.
- Medicare billing knowledge.
- Medical terminology knowledge.
Job Responsibility :
Reception & Customer Service
- Open and close the practice in accordance with procedures.
- Greet patients and visitors in a courteous, professional and welcoming manner.
- Answer incoming telephone calls promptly and efficiently.
- Schedule and manage patient appointments.
- Process patient invoices, receipts and Medicare bulk billing.
- Register new patients and maintain accurate patient records.
- Refer clinical enquiries and test result requests appropriately.
- Maintain confidentiality of all patient and practice information.
- Ensure the reception area remains professional, tidy and welcoming.
- Maintain patient information brochures, forms and displays.
- Provide administrative support to doctors and nurses as required.
Administration
- Prepare outgoing mail and distribute incoming correspondence.
- Scan, upload and file patient correspondence and clinical results.
- Type reports and other documentation as required.
- Maintain accurate electronic and paper records.
- Perform general administrative duties to support the practice.
Team Support
- Participate in staff meetings.
- Attend mandatory training and professional development.
- Assist with general housekeeping duties.
- Support doctors, nurses and other team members.
- Undertake additional duties as directed by the Practice Manager.
Compliance & Workplace Health & Safety
- Comply with practice policies and procedures.
- Maintain patient privacy and confidentiality.
- Follow infection prevention and control procedures.
- Comply with Workplace Health and Safety requirements.
- Report hazards and incidents promptly.
