The opportunity
IM Partners is seeking a highly organised Property & Accounts Administrator to support a substantial property portfolio and provide practical administrative support across our broader business activities.

This is a varied, hands-on role for someone who is good at keeping multiple moving parts under control.

Working directly with the CFO and Head of Consulting, you will take responsibility for coordinating property administration, resident enquiries, maintenance, payment preparation, facilities support, HR administration and general business administration.

We are looking for someone who follows things through. Someone who notices when something is missing, keeps accurate records, stays on top of deadlines and makes sure outstanding matters actually get resolved.

Part time role, up to 32 hours a week

The role
Your responsibilities will include:

- Coordinating day-to-day administration across a residential property and rooming-house portfolio, including resident enquiries, agreements, inspections, move-ins and move-outs, furnishing and amenities.
- Organising maintenance, contractors, access and follow-up to make sure property issues are resolved and completed.
- Preparing invoices, payment schedules and supporting documentation for CFO review and approval.
- Maintaining accurate property, payment, supplier and administrative records, including tracking renewals, outstanding actions and deadlines.
- Supporting facilities and office requirements, including supplies, service providers and routine purchasing.
- Providing HR administration support, including maintaining employee records,



preparing routine documentation, coordinating training and assisting with onboarding and other people-related administration.
- Assisting with registers, reconciliations, reporting and other general administration across the business.
- Following up outstanding matters, identifying discrepancies and escalating issues that require a decision or approval.

What we are looking for
You may come from property administration, accounts payable, facilities coordination, business administration or a role combining several of these areas.

More important than your current job title is your ability to organise, follow through and maintain control of a busy workload.

You will ideally have:

- Previous experience in property administration, accounts payable, business administration or a comparable coordination role.
- Strong organisation and attention to detail.
- Experience checking invoices and preparing payments for approval.
- Confidence managing competing priorities, deadlines and follow-up actions.
- Robust spreadsheet and general systems capability.
- Xero experience is preferred.
- Some exposure to HR administration, employee records, onboarding or training coordination would be highly regarded.




- Professional and confident communication skills.
- Good judgement about what you can resolve yourself and what needs to be escalated.
- The ability to work independently while keeping the CFO/Head of Consulting informed of matters requiring attention.
- Property, rooming-house or facilities coordination experience would be highly regarded.
- The ability to attend properties and other nominated premises when required.

What will make you successful
This role will suit someone who gets satisfaction from having things organised, accurate and finished.

You will be successful if you can keep records current, make sure payments are properly prepared, keep maintenance and property issues moving, support routine HR administration, communicate professionally with residents and suppliers, and give the CFO clear visibility over anything requiring a decision.
