SWOT Fire is a specialist Fire Protection company providing inspection, maintenance, repairs, installations and compliance services across NSW. With offices in Sydney and Newcastle, we are continuing to grow and are now looking for an organised, proactive Service Coordinator to join our Sydney team.

This is a busy and varied role suited to someone who has an eye for detail and enjoys working with people, coordinating jobs, solving problems and ensuring jobs are completed on time.

About the Role

This a hands-on role, reporting to the NSW Operations Manager, responsible for coordinating our day-to-day service operations and supporting small to large jobs/projects from start to finish.

Your responsibilities will include:

- Scheduling jobs for technicians and subcontractors

- Coordinating daily service and repair works

- Managing work orders from booking through to completion

- Liaising with customers regarding appointments and updates

- Preparing quotations and assisting with minor project administration

- Ordering materials and coordinating deliveries (raise and track purchase orders)

- Ensuring service reports and documentation are completed accurately

- Assisting with invoicing and job closure

- Updating UPTICK (operational system)

- Supporting the leadership team with general administration

About You

You will be someone who is well organised,



enjoys working with people, has an eye for detail, thrives under pressure, and likes making sure everything runs efficiently.

Ideally, you will have:

- Previous experience in service coordination, scheduling or project administration

- Excellent organisational and time management skills

- Strong customer service and communication skills

- Confidence using Microsoft Office and computer-based management systems

- Experience using Uptick is highly preferred or strong experience with similar systems such as Simpro, Aroflo, Fergus or ServiceM8. Experience in fire protection, HVAC, electrical, plumbing, facilities maintenance, or another field-service trade environment will be highly regarded, but is not essential

- The ability to prioritise multiple tasks

- High attention to detail
