An established civil and infrastructure contractor is seeking an experienced and highly organised Administrator to support its ongoing operations, project delivery and senior leadership team.
The organisation delivers civil construction, infrastructure, wet hire, haulage and landscape maintenance services across regional Australia. With more than 25 years of industry experience, an established portfolio of private and government-sector projects, and third-party accreditation across Quality, Environmental, and Health and Safety management systems, the business is continuing to strengthen its professional and operational capability.

The successful candidate will play an important part in maintaining accurate project financial records, supporting business operations and keeping key administrative processes running efficiently.
About the opportunity
This is a broad and trusted administration position supporting project teams, senior management and the wider business.
You will work across project financial administration, accounts, compliance, executive support and general operations. The role requires someone who can manage competing priorities, maintain a high level of accuracy and communicate professionally with internal teams, subcontractors and suppliers.
The organisation's project portfolio includes residential subdivisions,
business parks, retirement living developments, manufacturing facilities, commercial fit-outs, drainage infrastructure and environmental projects across regional Australia.
Key responsibilities
- Process accounts payable transactions, including purchase orders, supplier invoices and subcontractor claims
- Match purchase orders, delivery dockets and invoices before entering information into the system
- Establish new jobs, subcontracts, variations and cost codes within Jobpac
- Assist Project Managers with commitments, budgets and project cost reporting
- Support weekly and monthly creditor payment runs
- Assist with month-end reporting and audit preparation
- Reconcile corporate credit cards, petty cash and supplier statements
- Follow up outstanding accounts and assist with accounts receivable
- Support payroll data entry and timecard verification
- Manage executive calendars, travel and accommodation arrangements
- Draft professional correspondence and prepare meeting agendas and minutes
- Maintain accurate digital records for projects, contracts and subcontractor compliance
- Monitor Certificates of Currency and other supporting documentation
- Coordinate general office administration, incoming communications and business support requirements
- Assist with documentation and maintenance requests associated with property assets
About you
You will be a capable and professional administrator who takes ownership of your work and understands the importance of accuracy,
confidentiality and follow-through.
To be successful, you will ideally bring
- At least two years of administration, accounts or executive support experience
- Experience within civil construction, engineering, trades, infrastructure or property
- Hands-on experience using Jobpac
- Experience with a comparable construction ERP such as Pronto or Cheops will also be considered
- Practical knowledge of accounts payable, accounts receivable and reconciliationsStrong capability across Microsoft Excel, Word and Outlook
- Experience using Google Suite
- Excellent attention to detail and numerical accuracy
- Strong written and verbal communication skills
- The ability to prioritise deadlines and work across multiple areas of the business
- Confidence dealing with Project Managers, senior leaders, subcontractors and suppliers
- A proactive approach and the ability to work with limited supervision
- A professional, adaptable and solutions-focused work style
