We are seeking an experienced and motivated Second in Charge to support the Practice Manager in the day-to‐day operations of a busy medical centre. This is a hands‐on role that combines customer service, administration, and leadership responsibilities to ensure exceptional support for healthcare professionals, patients, and the broader practice team. Key Responsibilities

Healthcare Professional Support
n

- Compile medical reports and correspondence
n
- Type letters and manage patient recalls
n
- Assist with administrative requests from healthcare professionals
n
- Ensure administrative processes are completed accurately and efficiently
n
n
Patient Services
n
n
- Welcome and assist patients in a professional manner
n
- Resolve patient enquiries and concerns
n
- Register immunisations and maintain accurate records
n
- Escalate significant issues when required
n
n
Administration & Practice Operations
n
n
- Banking and daily reconciliations
n
- Sorting and distributing mail
n
- Managing faxes and correspondence
n
- Workers compensation administration
n
- Batching and billing adjustments
n
- Transferring patient records
n
- Scanning and assigning documents to patient files
n
- Answering incoming calls and managing appointments
n
- Patient billing and payments
n
- Supporting practice operations in the absence of the Practice Manager
n

Workplace Health & Safety
n
n
- Promote a positive safety culture within the practice
n
- Support the implementation of WHS policies and procedures
n
- Assist with workplace inspections and audits
n
- Report and follow up on workplace hazards
n
- Support incident reporting and investigations
n
- Assist with injury management and return-to-work processes
n

- Previous experience in administration, reception, customer service, or healthcare environments
n
- Strong verbal and written communication skills
n
- Excellent organisational and problem‐solving abilities

- High attention to detail and accuracy

- Strong computer and telephone system skills

- Ability to manage competing priorities in a rapid‐paced environment
