Service Advisor and Assistant Parts Interpreter

Holt's Auto Service is seeking a Service Advisor and Assistant Parts Interpreter to join our team in Swan Hill, Victoria. This is a full-time position that combines customer-facing service coordination with technical parts support. In this role, you will be the vital link between our customers and our service and parts teams, ensuring a seamless experience from initial enquiry through to job completion. You will play a key part in maintaining our reputation for excellent customer service whilst supporting the smooth operation of our workshop and parts department.

Key responsibilities

- Greet customers and receive vehicle enquiries, documenting details accurately and professionally
- Schedule service appointments and coordinate workshop capacity to optimise efficiency
- Provide customers with cost estimates and service recommendations based on vehicle condition and diagnostic findings
- Communicate with service technicians to understand job requirements and provide customers with accurate progress updates
- Assist the parts interpreter in identifying and locating required automotive parts for jobs and customer requests
- Interpret parts diagrams, catalogues and technical documentation to support parts selection and ordering
- Assist with parts inventory coordination and ensure availability of commonly used components
- Process invoices, payments and documentation for completed services
- Maintain accurate record-keeping of customer interactions, service history and parts transactions
- Respond to customer enquiries via telephone, email and in person with professionalism and product knowledge
- Build and maintain positive customer relationships to encourage repeat business and referrals

What we're looking for

- Previous experience as a service advisor, customer service representative or similar role in the automotive industry or a related field
- Knowledge of automotive parts,



systems and common service procedures, or willingness to develop this knowledge
- Robust communication skills with the ability to explain technical information clearly to customers
- Proficiency in using computer systems, workshop management software and Microsoft Office applications
- Ability to multitask and prioritise workload in a busy workshop environment
- Excellent organisational and time management skills
- Customer-focused mindset with a commitment to providing exceptional service
- Attention to detail and accuracy in record-keeping and documentation
- Professional appearance and demeanour
- A current valid driver's license
- Preferred: experience reading technical manuals, parts catalogues or experience in a parts department
- Preferred: familiarity with automotive diagnostics and terminology
