The Australian Orthopaedic Association has a part time (0.5FTE) 6 month position available in our Education & Training team, to provide responsive, user-focused administrative support for AOA's key Education & Training systems, including the Trainee Information Management System (TIMS) and the Learning Management System (LMS).
The opportunity:
This is a part time, 6-month contract role, with the possibility of extension.
The primary focus of the role is to assist AOA members, trainees and staff to use our systems effectively.
This includes responding to enquiries, helping users get set up, navigate the systems and complete tasks, and ensuring matters requiring further assistance are referred to the appropriate person and followed through to resolution. The role acts as an important link between users of the systems and relevant AOA teams, helping to ensure users receive timely, clear and practical assistance.
Key responsibilities:
Act as a point of contact for users of the TIMS and Moodle platforms, assisting with entering, viewing, or responding to assessments and/or obtaining reports or information
Assist users to access the platforms and provide clear, practical guidance to resolve routine issues and assist with navigation, data entry, reporting, dashboards, workflows and other system functionality

Monitor outstanding support requests and ensure issues are followed through to resolution
Monitor and identify recurring system or data quality issues and suggest opportunities to improve system functionality and usability
Develop a strong working knowledge of the functionality, workflows and configuration for both Salesforce and Moodle
Develop and maintain user guides, FAQs, process documentation and other support resources
Assist with training staff in the use of TIMS and Moodle
Ensure adherence to all AOA policies relating to information security, privacy, data protection and records management
To be successful in the role you will have:
Effective and proactive problem-solving skills
Excellent customer service including ability to explain technical concepts clearly to non-technical users
Well-developed written and verbal communication skills, including the ability to develop user guides, training materials and support documentation
Experience maintaining accurate records, managing competing priorities and following issues through to resolution
Impeccable attention to detail, a high level of accuracy and commitment to data quality and integrity
Ability to prioritise multiple support requests and manage competing demands
Demonstrated ability to document issues, processes and solutions
Demonstrated ability to prepare reports, analyse data and present information in a clear and meaningful way
Understanding of information security, privacy and appropriate management of user access
Ability to work collaboratively with technical and non-technical stakeholders
Desirable experience and qualifications:
Knowledge of and/or experience in using Salesforce and/or Moodle
Demonstrated experience and / or qualifications in working with technology, education or medical environments

The Education and Training portfolio manages the training and continuing professional education of orthopaedic surgeons in Australia. A primary aim of AOA’s training program is the achievement of continuous improvement in the quality of patient care.
