Administration & Rostering Officer – Disability Services

About the Role
You will provide day-to-day administrative support while coordinating staff rosters across Nexa Care’s supported accommodation services. You will be a key point of contact for employees, participants, families and other stakeholders, ensuring enquiries are responded to promptly and roster requirements are managed effectively.
Key Responsibilities
Administration
- Answer, return and direct incoming telephone calls.
- Monitor and respond to emails and general enquiries.
- Maintain accurate electronic records, registers and filing systems.
- Prepare correspondence, documents, reports and spreadsheets.
- Follow up outstanding information, documentation and staff responses.
- Support onboarding, compliance checks and employee record management.
- Schedule meetings, appointments and other operational activities.
- Liaise professionally with support workers, participants, families and external stakeholders.
- Provide general administrative support to the Operations and Management teams.
- Assist with other administrative and operational duties as required.
Rostering
- Prepare and maintain staff rosters across multiple supported accommodation locations.
- Allocate shifts according to participant needs, staff availability, qualifications and service requirements.
- Manage shift changes, cancellations, leave requests, vacancies and short-notice absences.
- Contact available employees and arrange suitable replacement coverage.
- Communicate roster changes clearly and promptly to affected employees.
- Monitor roster gaps, unfilled shifts, availability and staffing coverage.
- Maintain appropriate staffing ratios and continuity of support.
- Review rostered hours, timesheets and shift records for accuracy.
- Identify potential overtime, fatigue-management and award-compliance concerns.
- Maintain accurate staff availability and leave information.
- Escalate unresolved staffing risks or service coverage issues to management.
- Support forward planning to reduce last-minute vacancies and roster disruption.
About You
You will be dependable, calm under pressure and comfortable dealing with frequent calls, emails and changing priorities. You will also understand that effective rostering requires sound judgement, clear communication and close attention to detail.
The successful applicant will ideally have:
- Previous experience in administration, rostering, workforce coordination or a similar role.
- Strong organisational and time-management skills.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- The ability to manage urgent matters and competing priorities.
- Confidence communicating with employees and external stakeholders.
- Strong computer skills, including Microsoft Outlook, Word and Excel.
- Experience using rostering, workforce-management or care-management software.
- The ability to maintain privacy, confidentiality and professional boundaries.
- A practical and proactive approach to problem-solving.
- Experience within the NDIS, disability, aged-care, healthcare or community-services sector is highly desirable.
- Knowledge of the SCHADS Award and fatigue-management principles is desirable.
Employment Requirements

- A current NDIS Worker Screening Check.
- A current National Police Check.
- Evidence of Australian working rights.
- Any other checks or documentation required for the position.
