Our allied health clinic in Pascoe Vale South and Sunshine site, are looking for a energetic, highly skilledClinic Receptionist / Administratorto be the first point of contact for our clients and families.
n
Our clinics provide Speech Pathology, Occupational Therapy and Physiotherapy services in a warm and supportive workplace. As the face of Advance Therapy, you will play a vital role in ensuring every client feels valued, respected, and supported from the moment they connect with us.
n
The Role
n
We are seeking a professional who is:
n
Experiencedin healthcare or medical administration, ideally with knowledge of NDIS, Medicare, My Aged Care and Private Health Insurance.
n
Competent and fast-paced, able to manage competing priorities while maintaining accuracy and attention to detail.
n
Quick to learnand adaptable, with the ability to master new systems and processes efficiently.
n
Exceptional in customer service, with outstanding phone manner, polished email etiquette, and the ability to engage warmly with people from diverse backgrounds.
n
This is afull-time role (38 hours per week)within our clinic hours of 8am–6pm Monday to Friday. Start and finish times can be tailored in consultation with the successful candidate.
n
Key Responsibilities
n
Deliver first-class customer service across face-to-face, phone, and email interactions.
n
Manage appointments, payments and records accurately across multiple systems.
n
Coordinate clinician schedules and ensure smooth daily operations.
n
Uphold professional communication standards, confidentiality, and discretion.
n
Support the clinical team with a range of administrative duties, including client intake, diary management and external communications.
n
Contribute to the clinic's growth by assisting in areas aligned with your strengths (e.g. marketing, IT, HR, recruitment, social media).
n
Maintain a clean and organised reception space to create a welcoming client experience.
n
About You
n
To succeed in this role, you will demonstrate:
n
Education completed: VCE (or equivalent) or higher
n
Prior experience in administration within healthcare or related sectors.
n
Exceptional communication skills, both written and verbal, with confidence in handling sensitive or complex enquiries.
n
Strong computer literacy, including MS Office Suite and patient management systems.
n
Ability to work calmly and professionally in a busy environment.
n
A proactive, motivated, and solutions-focused approach to challenges.
n
A passion for supporting clients and making a genuine difference in the community.
n
Willing to acquire a Victorian Working with Children's check, NDIS Screener Workers Check and undergo a National Police Check (required for the role)
