Lead and shape the Administration function of a successful regional business

Pipe Doctor is a proudly regional, family-owned business with a strong presence across multiple locations in Victoria.

We're looking for an experienced Administration Manager ready to take the next step and genuinely own our Administration function.

This is a varied role where you'll lead our Administration Team while remaining connected to the detail. You'll work closely with the leadership team to ensure administration, finance, payroll, people processes and systems work effectively across the business.

Experience in the drainage industry or our specific systems isn't essential. We're looking for strong administration capability, valuable judgement and the confidence to learn.

About the role

Reporting directly to the Managing Director, you'll lead the Administration Team across Pipe Doctor's locations and be responsible for the performance, capacity and consistency of the Administration function.

Your role will include:

Leading, supporting and developing the Administration Team, including setting expectations, managing performance and coordinating workloads.

Managing administration capacity across locations, reallocating work when priorities, deadlines, leave or workload change.

Overseeing company-wide finance administration, including accounts payable, accounts receivable, reconciliations, payments, financial records and controls.

Managing weekly payroll, ensuring payroll is accurate, timely and completed within required deadlines.

Overseeing employee administration, including records, recruitment, onboarding, offboarding, probation, performance reviews, training and qualifications.

Maintaining the administrative framework supporting HSEQ/IMS and compliance,



including records, documentation and follow-up.

Owning administration systems and processes, ensuring information is accurate, processes are consistent, and systems are used effectively.

Identifying and implementing improvements that reduce duplication, improve efficiency and make administration easier to manage.

Providing accurate and timely information to the Managing Director and relevant managers to support decision-making and follow-up.

Coordinating external HR advisers, HSEQ advisers and other professional providers where specialist advice or support is required.

What we're looking for

You’ll ideally bring:

Experience in a broad administration or multi-function role.

Practical experience with accounts payable, accounts receivable and reconciliations.

Payroll and employee administration experience, with the ability to manage an end-to-end payroll process.

Strong computer and systems capability, with confidence using standard office applications and business systems.

Experience supporting or leading a team, including setting expectations, coordinating workloads and providing feedback.

Strong organisation, follow-up and sound judgement.

The ability to manage competing priorities while maintaining accuracy and attention to detail.

Clear and professional communication,



with the ability to work comfortably with people at all levels of the business.

Experience with QuickBooks, Simpro, Employment Hero or similar systems will be highly regarded, as will experience in a multi-location, trade, construction, utilities, maintenance, transport, waste or other field-service environment.

HSEQ/IMS administration and compliance experience would also be advantageous.

You’ll bring a calm, solutions-focused approach to a busy environment, and won't be afraid to ask questions, make decisions or speak up when something needs attention.
