About the role

The Facilities Officer supports the smooth day-to-day operation of GIICA's workplace environment by coordinating facilities services, contractors, workplace resources and administrative activities. Working closely with the Facilities Manager, you will help maintain a safe, efficient and well-functioning office workplace while delivering responsive support to employees and stakeholders.

This role is responsible for coordinating facilities requests, supporting workplace compliance activities, managing records and documentation, and assisting with office moves, onboarding requirements and workplace services.

This is an excellent opportunity for a highly organized and proactive professional who enjoys problem-solving, building relationships and contributing to a positive workplace experience.

This is a 2-year maximum term role with the possibility of extension.

This position is office‑based due to the nature of the responsibilities within facilities.

About your responsibilities

Facilities Management & Workplace Operations

- Coordinate facilities maintenance requests, contractor attendance and service delivery.
- Coordinate consumables and stationary procurement and ordering
- Monitor workplace facilities, identifying maintenance issues and escalating required repairs.
- Support office relocations minor fit outs and workspace reconfigurations as required.
- Support development of workplace procedures and continuous improvement initiatives.
- Maintain front and back of house operations to always ensure a well-presented workplace including replenishment of office and hygiene supplies
- Provider workplace support for internal and external workplace events and workshops

WHS & Compliance Support

- Conduct routine workplace inspections and identify and manage submitted hazards or maintenance issues requiring attention.
- Support onboarding activities including workstation setup, building inductions and PPE coordination.

Contractor, Vendor & Building Management Coordination

- Coordinate facilities contractors, building management and service providers.




- Monitor service delivery standards and maintain contractor records.
- Process facilities-related invoices and purchasing card reconciliations.
- Assist with facilities budgeting, expenditure monitoring and procurement activities

Security & Access Administration

- Monitoring and Management of Facilities related inboxes.
- Support broader facilities team with access records, security registers and access reporting as required.
- Liaise with building management regarding access requirements and security arrangements.

Workplace Administration & Asset Management

- Maintain facilities documentation, registers, floorplans, workplace procedures and intranet content.
- Maintain inventories of furniture, equipment and workplace assets.
- Support fleet vehicle coordination and administration.

About you

- Demonstrated experience in a facilities coordination, workplace services, office administration, property administration or corporate support role within a fast-paced environment.
- Strong organisational skills with the ability to manage competing priorities, coordinate multiple service providers, and maintain accurate records and documentation.
- Proven ability to build effective working relationships with internal stakeholders, contractors, building management, and service providers.
- A customer-focused approach with a commitment to delivering responsive workplace support and resolving issues in a timely and professional manner.
- Well-developed administrative skills, including proficiency in Microsoft 365 and experience maintaining registers, reports, invoices, and workplace documentation.
- Sound understanding of workplace health and safety principles and the ability to identify and elevate workplace hazards and compliance issues.




- High attention to detail and a proactive approach to identifying opportunities to improve workplace processes, facilities services and employee experience.
- Adaptable, reliable, and comfortable working within a developing organisation where priorities may evolve over time.
