Playing a vital role in supporting the successful delivery of projects across Victoria, you will provide high-level administrative support to ensure efficient daily operations and seamless project execution.

Key Responsibilities

- Administrative & Management Support: Provide direct administrative assistance to the Project Manager and HSEQ Manager, including reporting, data entry, and record management.
n
- Document Control: Manage project correspondence, filing, and site documentation maintenance using OneDrive and SharePoint.
n
- Quality & Compliance: Assist with quality documentation to ensure all project records are accurately maintained, up to date, and compliant.
n
- Stakeholder Coordination: Coordinate daily administrative activities involving subcontractors, suppliers, and external trades.
n
- Client & Contractual Support: Assist with customer liaison and contractual obligations, including certification requirements and project documentation.

- Pipeline Support: Set up new job leads and prepare project files for team follow-up.

About You

- Relevant Experience: Background in a Project Administration (or similar) role, ideally supporting construction, civil, or infrastructure operations.
n
- Technical Skills: Intermediate proficiency in Microsoft Word and Excel, with strong data entry, reporting, and cloud filing (OneDrive/SharePoint) capabilities.

- Organizational Skills: Excellent time management with a proven ability to prioritize tasks effectively in a fast-paced environment.

- Attention to Detail: Meticulous approach to documentation accuracy and record management.

- Communication: Solid written and verbal communication skills across internal teams, clients, and external trades.
