About the role

n

We are seeking a talented and enthusiastic Weddings and Events Specialist to join our team at Riverstone Estate Wines. This is a full-time position based in Coldstream VIC 3770. As the Weddings and Events Specialist, you will play a pivotal role in transforming our clients' visions into memorable celebrations. You will be the primary point of contact for event enquiries and will manage all aspects of event planning, coordination and delivery. This position is essential to maintaining our reputation for delivering extraordinary events and building lasting relationships with our clientele.

Key responsibilities

Manage all aspects of event enquiries, including initial consultations, proposal development and contract negotiations with couples and corporate clients

n

Coordinate comprehensive event planning processes, including venue setup, catering arrangements, beverage selection and timing of events

n

Liaise with internal teams including kitchen staff, service personnel and management to ensure seamless event execution

n

Work with external suppliers and vendors such as florists, photographers,



decorators and entertainment providers to deliver client requirements

n

Develop and present tailored event proposals that showcase our venue's unique offerings and align with client budgets and expectations

n

Manage event timelines, checklists and documentation to ensure all details are confirmed and executed accurately

n

Conduct site visits and walkthroughs with clients to showcase the venue and discuss event logistics

n

Handle customer queries and concerns professionally, maintaining excellent communication throughout the planning process and on event day

n

Monitor event budgets, track expenses and ensure profitability of events

n

Contribute to the development of marketing materials and promotional content to attract new event bookings

n

Maintain detailed records of client preferences, event details and feedback for future reference and service improvements

What we're looking for

Proven experience in event planning, coordination or management, preferably within the hospitality or venue management sector

n

Strong organisational and project management skills with the ability to manage multiple events simultaneously

n

Excellent interpersonal and communication abilities,



with a natural flair for building relationships with clients and stakeholders

n

Proficiency in event management software and Microsoft Office applications

n

Demonstrated ability to work effectively under pressure and meet tight deadlines

n

Creative thinking and problem-solving skills to customise events and overcome challenges

n

Knowledge of wine, hospitality operations and event industry best practices

n

Attention to detail and commitment to delivering high-quality outcomes

n

Professional presentation skills and the ability to represent the brand with confidence and grace

n

Flexibility to work extended hours, including weekends and evenings when events are scheduled

n
