Publishing Assistant / Project Coordinator
We are looking for an organised and proactive Publishing Assistant / Project Coordinator to join our team.
This is a varied, coordination-focused role supporting authors and clients throughout the publishing process. You will help manage each project from the initial briefing through the various stages of production and, where applicable, through to printing and final fulfilment.
The primary focus of the role is not editing or graphic design. Instead, you will be responsible for keeping projects organised, communicating with clients, coordinating internal team members and external contractors, and ensuring each job continues to move forward.
Previous experience in publishing, printing, manuscript formatting, editing or graphic design would be highly regarded, but it is not essential. Strong communication, organisation and project coordination skills are the most important requirements.
Full-time position | Underwood, Brisbane QLD
Key Responsibilities
- Act as a key point of contact for authors and publishing clients
- Guide clients through the different stages of their publishing project
- Review incoming project requirements and help establish the required workflow
- Coordinate clients, internal team members and external contractors
- Manage project schedules, deadlines, approvals and outstanding information
- Monitor projects through editing, formatting, design, proofing, printing and fulfilment
- Keep clients informed of progress and follow up on required files, feedback and approvals
- Maintain accurate project records, task lists and supporting documentation
- Assist with general publishing administration and production coordination
- Where appropriate, assist with basic proofreading,
formatting or file checking
About You
- Have excellent written and verbal communication skills
- Are confident communicating with clients and managing expectations
- Are highly organised and able to manage several projects at once
- Have solid attention to detail and consistently follow up outstanding tasks
- Can work with different people and coordinate multiple stages of a project
- Are comfortable working with deadlines and changing priorities
- Have a practical, solutions-focused approach
- Are confident using Microsoft Office and learning new systems
- Work well independently while also contributing to a collaborative team
Experience That Would Be Highly Regarded
- Book publishing or print production
- Project coordination, client services or account management
- Manuscript editing, proofreading or formatting
- Adobe InDesign, Photoshop or other Adobe Creative Cloud programs
- Graphic design, prepress or commercial printing
- Coordinating freelancers, suppliers or external contractors
- Managing production schedules and client approval processes
A formal degree in publishing, communications or graphic design is not required. Applicants from administration, project coordination, customer service, printing, publishing or other production-based backgrounds are encouraged to apply.
About the Opportunity
This is a hands-on role offering exposure to the complete publishing and production process. You will work closely with authors, creative professionals, external contractors and our internal printing and publishing team to help bring each project through to completion.
We are looking for someone who enjoys keeping projects organised, helping clients understand the process and making sure nothing is overlooked.
