Key responsibilities
- Manage the Secretary's calendar, inbox and competing priorities, including drafting responses and escalating matters as required
- Coordinate senior meetings, including agendas, papers, minutes and follow-up actions
- Track key decisions, commitments and organisational priorities to ensure actions are completed
- Support governance and administrative processes across the Union
- Coordinate travel, accommodation, itineraries and other executive logistics
- Assist with record keeping, document management and the management of key organisational assets
- Draft, format and proofread correspondence, reports, presentations and other documents
- Act as a key point of contact for internal and external stakeholders on behalf of the Secretary, building solid and professional working relationships
- Support the broader leadership team with administration, projects and emerging organisational priorities
- Work closely with the Office Manager and other staff to support the smooth operation of the Union
About you
- Exceptionally organised, with excellent time-management skills
- Able to manage multiple competing priorities and deadlines while maintaining attention to detail
- A strong written and verbal communicator
- Highly personable, confident and able to build rapport quickly with a wide range of people
- An excellent stakeholder manager who can communicate professionally, exercise judgement and make people feel well supported
- Proactive, with the ability to anticipate what needs to happen next
- Reliable and committed to following tasks and decisions through to completion
- Professional and discreet when dealing with confidential or sensitive information
- Calm and solutions-focused when priorities change
- Highly digitally literate and confident using modern office and productivity software
About us
The HWU represents health workers across Victoria — from hospitals and aged care to disability and pathology. We fight for fair pay, safe conditions and respect at work, and strong coordination behind the scenes is essential to keeping the Union organised, effective and focused on delivering for members.
Salary of $85,000–$105,000 + 12% super, depending on skills and experience
Full-time role based in Abbotsford, with reduced FTE arrangements open to discussion
