Operations Manager
Salt is a performance and creative marketing agency in Albion, Brisbane. Two directors, a full in-house team, and eight services across websites, search, paid media, social, content and brand.
The goal is to be the number one performance and creative agency in the southern hemisphere. This role is a seat beside the founders every day while that gets built.
Salt is looking for an operational machine. Someone ferociously organised who also brings ideas to the table, moves without being asked and thinks two steps ahead of the work.
The purpose of the role is to run the business. Systems, resourcing, process and the day to day operation of the agency sit with this person. As Salt scales, the machine behind it holds.
That flows through to delivery. Every deliverable at Salt ships on time and to standard.
The directors drive growth, creative and strategy. This role is the operating system behind them.
Full time, on site at the Albion studio.
What this person owns
Process and systems
Identify friction in how work moves between the delivery team, account management and the directors, then design and roll out the fix.
Admin level configuration and governance of ClickUp. Templates, custom fields, automations, statuses and work structure standards. ClickUp experience is a bonus and not a requirement. The platform can be learned.
The process library. Every service has a documented way it gets delivered, and it stays current as the work changes.
Evaluate and implement automation, no-code tooling and AI to lift the team's capacity without lifting headcount.
Lead change management when new processes and tools land, including initiatives driven by the directors, and carry the team through the transition.
Continuous improvement. Where the same problem shows up twice, the system changes.
Software stack, licences and subscriptions. The right seats, no waste, renewals tracked.
Delivery
ClickUp. Every project and recurring task lives there and stays accurate. Overdue tasks are surfaced and chased the same day.
Delivery deadlines across all clients,
projects and ongoing retainers.
Quality control before anything leaves the building. Spelling, formatting, accuracy, brief adherence.
Meeting readiness. Account managers walk into client meetings with notes, reporting and actions prepared in advance.
Escalation. When something is at risk, the directors hear about it early and with a proposed fix.
Resourcing and people
Weekly capacity and workload planning across the delivery team.
Freelancer and contractor coordination. Briefs out, work back on time, quality checked.
Recent starter onboarding. Accounts, access, equipment, inductions and the first ninety days mapped.
Recruitment coordination as the team grows. Scheduling, screening support, candidate experience.
Commercial and reporting
Client onboarding and offboarding. Contracts signed, kick-offs booked, access collected, everything logged before work starts.
Scope management. Hours against retainer, scope creep flagged to the directors before it becomes free work.
Supplier and vendor relationships, quotes and purchase approvals.
Monthly reporting cycle. Reporting is out to every client on the first Tuesday covering the prior full month.
A weekly operations report to the directors. What shipped, what slipped, where capacity sits, what needs a decision.
Studio operations. The space, the equipment, the suppliers and the day to day of a business that people walk into every morning.
What a great candidate looks like
Relentlessly organised. Deadlines are a personal standard.
Autonomous and proactive. Sees what needs doing and starts before being asked.
Brings ideas to the table. Better ways to run the business are expected from this seat.
Comfortable holding people to account, including people more senior and more creative than them.
Direct communicator who raises problems early and clearly.
High attention to detail. Catches the typo, the wrong logo, the missing slide.
Builds systems by instinct. Sees a repeated task and turns it into a process.
Calm under volume. Salt runs multiple clients and projects at once.
Experience
Two or more years in operations, delivery, production or project management, ideally inside a marketing agency, creative studio, production company or professional services firm.
Hands on with a project management platform, ideally at admin level. Salt runs on ClickUp and will train the right person on it.
Experience running process across a team of five or more.
Track record of documenting process and having a team actually follow it.
Exposure to automation or no-code tooling is a strong advantage.
Marketing experience is a bonus and not a requirement. Salt will train the marketing. The organisational instinct cannot be trained.
