Job Description

As our organisation continues to grow, we are looking for a highly organised, reliable and confident Administration Support Officer to join our team and play an important role in the day-to-day operations of the business.
n
About the Role
n
This is a varied and hands-on administration role.
n
You will be responsible for providing high-quality administrative support across areas including:
n
General administration and customer service
n
Rostering and workforce coordination
n
Recruitment and employee onboarding
n
Participant onboarding and administration
n
Accounts, and finance administration utilising Xero
n
Compliance and record keeping
n
Staff and stakeholder communication
n
Supporting the Leadership Team with day-to-day operations
n
Ad hoc duties as required
n
This is a role where no two days are the same. The successful applicant will need to be comfortable managing competing priorities, working independently and taking initiative when required.
n
While this is primarily an administration position, the successful applicant must be willing and available to occasionally attend and work a support shift when required to assist with staff coverage and continuity of participant support.
n
This may include stepping into a frontline support role when unexpected staff shortages or operational requirements arise.
n
Key Responsibilities
n
Administration & Customer Service
n
Act as a professional first point of contact for participants, families, employees and external stakeholders.
n
Manage incoming phone calls, emails and enquiries.
n
Assist with participant intake and onboarding processes.
n
Provide administrative support to the Leadership Team.
n
Maintain accurate participant and employee records.
n
Prepare correspondence, documents, reports and meeting minutes.
n
Assist with incident documentation and follow-up processes.
n
Maintain confidentiality and handle sensitive information appropriately.
n
Rostering & Workforce Coordination
n
Assist with daily scheduling and rostering of support workers.
n
Monitor staffing requirements and assist with finding suitable shift coverage.
n
Communicate roster changes and updates to staff.
n
Assist with maintaining accurate staff and participant schedules.
n
Support continuity of participant services.
n
Ensure rostering information is accurate and maintained in accordance with organisational requirements and applicable SCHADS Award conditions.
n
Recruitment & Onboarding
n
Assist with recruitment advertising and candidate screening.
n
Coordinate interviews and recruitment appointments.
n
Assist with employee onboarding and induction.
n
Maintain employee compliance documentation.
n
Assist with participant onboarding, welcome calls, meet-and-greets and service commencement processes.
n
Maintain and process financial administration using Xero.
n
Assist with accounts receivable.
n
Assist with processing and following up invoices and payments.
n
Assist with timesheet and payroll administration.
n
Maintain accurate financial and administrative records.
n
Compliance & Quality
n
Maintain accurate and up-to-date records across relevant systems.
n
Assist with NDIS compliance and organisational requirements.
n
Support the maintenance of employee and participant documentation.
n
Assist with internal audits, reviews and quality improvement activities.
n
Identify opportunities to improve administrative systems and processes.
n
Stakeholder Engagement
n
Build positive and professional relationships with participants, families, support workers and external stakeholders.
n
Communicate effectively with Support Coordinators, allied health professionals and other service providers.
n
Assist with service reviews, meetings and other stakeholder activities.
n
Represent Sibella Care in a skilled, respectful and compassionate manner.
n
To be successful in this role, you will have:
n
Previous experience in administration, coordination, rostering, customer service or a similar role.
n
Proven experience and proficiency using Xero – this is an essential requirement.
n
Strong computer skills and confidence using Microsoft 365.
n
Excellent written and verbal communication skills.
n
Strong organisational skills and exceptional attention to detail.
n
Ability to manage competing priorities and work to deadlines.
n
Ability to work independently while also contributing positively to a team.
n
A professional, confident and friendly telephone manner.
n
Strong problem-solving and decision-making skills.
n
Ability to maintain confidentiality and handle sensitive information professionally.
n
Working with children's check, recent police check, NDIS screening check (or ability to obtain)
n
Willingness and availability to occasionally provide frontline shift coverage when required.
n
Highly Desirable
n
Experience in one or more of the following would be highly regarded:
n
NDIS or disability services
n
Mental health
n
Community services
n
Rostering or workforce coordination
n
Experience with NDIS-related software or CRM systems
n
