We have an exciting opportunity for an experienced, enthusiastic and professional Specialist Practice Manager to join our friendly Gastroenterology practice in Doncaster East.
Supporting four Gastroenterologists, you will play a pivotal role leading our team in delivering an exceptional experience for our patients and overseeing the smooth operation of a busy and highly regarded medical practice.
This is an excellent chance for a Practice Manager who enjoys taking ownership, wants to contribute to and lead a small successful team, as well as have a real influence over the day to day operations of a specialist practice. You will work closely with the Directors in a hands on role and we will require you to be on site permanently.
Your main responsibilities include:
Overseeing the day to day operations of the practice and ensuring the smooth running and efficiency of our practice
Patient facing secretarial duties for a portion of the week (1 day minimum) and additional when needed to cover leave
Organise / coordinate theatre lists for the Gastroenterologists
Medical billing – including billings from consulting & procedures
Secretarial staff management (rostering, leave, training, oversight)
The ideal candidate must have:
Mandatory minimum of 3 years experience as a Specialist Practice Manager- Previous experience in a Gastroenterology clinic will be looked upon favourably
Proven leadership skills with the ability to motivate and train a team
Excellentcomputer skills
Ability to multitask is important
Attend to phones, oversee the running of the clinic day to day, deal with patients face to face, book theatre lists, electronic correspondence
Have outstanding communication skills, compassion, patient, discrete, positive problem-solving strategies
Good collaborative skills and communication to work with administrative colleagues, doctors and tenants
Must be able to perform well under pressure of a busy multi-specialists practice
Willing to adapt/receive constructive feedback
Experience in booking patient medical appointments and organise theatre lists at various hospitals for multiple Gastroenterologists
Attention to detail is a necessity
High organisation skills
Job Responsibilities:
All aspects of medical secretary role/reception once per week and to cover leave of secretaries
Billing patients, booking appointments, answering phones, sending letters
Coordinate multiple doctors operating lists
Oversee the day to day operations of the clinic
Lead by example and develop our team - recruiting, training, performance reviews
Managing practice systems as well as implementing new systems to ensure our clinic is compliant and running efficiently
Reconciling bank account, accounts payable
Oversee compliance, governance and risk, including policies, privacy, quality improvement and date security
Ensure confidentiality of sensitive information
Contribute to the morale of the team and foster a friendly and calm environment
Ensure general cleanliness of practice by daily basic cleaning and organisation of professional cleaners
Facilities management
Compliance to occupational health and safety
Ensure clinic is well stocked with perishable goods and limited sales items
Gains customer feedback about the practice
Addresses patient complaints in a compassionate and timely fashion
First line troubleshooting I.T issues (IT consultant available for complex issues)
Attend, run and actively participate in all practice meetings
Have an understanding of procedural billings including known Gaps, no Gaps and AMA fees, health fund insurances, DVA.
Have an understanding of medicare billing
The offer:
Salary: $45- $55 per hour (depending on experience)
This is a permanent position.
Hours: Minimum 30 hours per week (flexible up to 36 hours per week)Onsite parking is available.
