This is a fast-paced and varied role where no two days are the same. You will coordinate multiple events, convert enquiries into confirmed bookings, build strong client relationships and assist with marketing Farm Vigano across digital and social platforms.
Key responsibilities
Manage event enquiries from initial contact through to confirmation
Conduct venue tours and create proposals
Follow up leads and build strong relationships with prospective and confirmed clients
Convert enquiries into sales while achieving agreed budgets
Prepare event contracts, manage deposits and monitor payment schedules
Maintain accurate client and event information within CRM system
Event Coordination
Coordinate events from confirmation through to final handover
Manage client communication professionally and promptly
Prepare detailed event run sheets and floor plans
Liaise with suppliers and maintain positive vendor relationships
Ensure the kitchen, restaurant and event teams are fully briefed
Complete final checks before each event, including table setup, guest numbers and event details
Provide a thorough handover to Restaurant and Event Supervisors
Follow up with clients after their event and evaluate its overall success
Marketing
Assist with planning and delivering marketing campaigns
Create engaging content for social media, email marketing and digital platforms
Capture social media content during events while respecting client privacy
Promote seasonal campaigns and special event days
Maintain marketing materials, event packages, menus and website information
Ensure all marketing content reflects the Farm Vigano brand and guest experience
About you
Previous experience in event coordination, sales, marketing or a similar role
Tech savvy, and an understanding of social media and digital marketing
Creativity and an eye for styling and presentation
Comfortable capturing engaging social media content
Outstanding written and verbal communication skills
Solid sales, negotiation and relationship-building skills
Highly organised with exceptional attention to detail
Confident using booking systems, Microsoft Office and digital platforms
The ability to work independently while contributing positively to a close-knit team
Experience with photography, content creation, Capcut, CRM platforms or event-management systems would be highly regarded.
The Role
This is a full-time position, and the successful candidate must be available to work Wednesday to Sunday.
