Role

Position Purpose

The primary purpose of the position is the management and processing all aspects of accounts payable within the CASES21 Finance system in accordance with DET policies and guidelines. Key responsibilities include maintaining accurate financial records, monitoring budget allocations across faculties, programs, and school projects, and providing timely financial reporting and advice to staff.

The position is also responsible for maintaining all assets purchases and disposals in CASES21, and the use of the Asset Information Management System (AIMS).

The position also provides back-up to other Administration staff in need, including reception duties and First-Aid.

Responsibilities

Accounts Payable

- Processing of Creditor invoices into CASES
- Purchase orders - raising / matching in Compass
- CommBiz Weekly Payment runs - direct deposits, BPay
- Creditor enquires/calls
- AIMS System management - orders, and liaising with Maintenance Co-ordinator
- Assets Management in CASES - processing of purchases, disposal, stocktake. Balancing of clearing accounts.
- Westpac Purchase cards processing and reconciling
- Journals to correct coding errors
- Have a clear understanding of Cases21 Finance within DET policy and guidelines, in particular Procurement compliance.

Asset Register

- Ensure all asset purchases and disposals are recorded correctly in Cases
- Assist with bi-annual Assets stocktake.

Budgets

- Assist BM in setting the Annual Interim Budget.
- Assist BM with ongoing monthly review of sub-program budgets and completion of budget adjustments if needed.
- Provision and support/advice to Budget Leaders

Finance EOM / EOY

- EOM & EOY support to Business Manager

General Administration Support

- Backup support to other Administration staff – answering telephone, covering reception queries if needed, first-aid support for students if needed.

Professional Learning

- Take an active and positive role in supporting professional learning relating to the role

Other

- Other duties as required by the Principal/Business Manager

Geelong High School is a Year 7 - 12 co-educational school located near the centre of Geelong "The City by the Bay", and adjacent to a significant parkland area. Established in 1910, Geelong High School is one of the oldest secondary schools in the region. It has a proud history, celebrating its centenary in 2010, and is held in high regard by the Geelong community.

Current enrolment is approximately 975 students, drawn mainly from the nearby areas of East and South Geelong, the Bellarine Peninsula and across Geelong. The Leadership Team comprises a Principal, three Assistant Principals, the Business Manager, IT Manager and eight Leading Teachers. There are approximately 110 staff, of whom 75 are teaching staff.

The school motto, VITAE NOS PARAT, which means "It prepares us for life", provides a basis for the total school curriculum, and there is a strong recognition within the school, that the various elements of the school community work in partnership to achieve optimum outcomes for all our students.
