About the role

n

Perth Orthopaedic Specialist Centre is seeking a Senior Orthopaedic Surgical Secretary to join our dynamic team in West Leederville, WA. This is a part/full-time position offered on a 0.8-1.0 FTE basis, providing flexibility to suit your work-life balance needs. As a Senior Orthopaedic Surgical Secretary, you will be the essential administrative backbone supporting our orthopaedic surgical team, ensuring seamless coordination of clinical operations, patient care and surgical scheduling. This role is pivotal to maintaining the efficiency and professionalism of our centre and directly impacts the quality of patient experience we deliver.

Key responsibilities

n

Managing comprehensive surgical schedules, coordinating theatre bookings, and liaising with anaesthetic and surgical teams to optimise surgical lists

n

Providing high-level secretarial support to orthopaedic surgeons and specialist consultants, including correspondence, report preparation and documentation management

n

Ensuring meticulous maintenance of patient medical records and surgical documentation in compliance with privacy and regulatory requirements

n

Scheduling and confirming patient appointments, managing cancellations and rescheduling whilst maintaining excellent patient communication

n

Coordinating pre-operative and post-operative patient communications, including providing procedural information and discharge arrangements

n

Liaising with external referral sources, hospitals, allied health professionals and other healthcare providers to facilitate continuity of care

n

Processing clinical correspondence, pathology results and imaging reports with accuracy and timeliness

n

Providing administrative mentorship and support to junior secretarial staff,



fostering a collaborative and supportive team environment

n

Managing billing and fee schedules, preparing invoices and maintaining financial records as required

n

Utilising practice management software and medical administration systems efficiently and accurately

n

What we're looking for

n

Minimum 3+ years' experience as an orthopaedic or surgical secretary in a private practice or hospital setting

n

Proven expertise in surgical scheduling, theatre coordination and perioperative administration

n

Advanced proficiency with practice management software and medical administration systems

n

Comprehensive understanding of orthopaedic procedures, terminology and surgical protocols

n

Excellent written and verbal communication skills with the ability to liaise professionally across all levels of the organisation

n

Strong organisational skills with demonstrated ability to manage multiple priorities and meet tight deadlines

n

High level of discretion and confidentiality in handling sensitive patient and clinical information

n

Exceptional attention to detail and accuracy, particularly when managing medical documentation

n

Skilled demeanour with strong interpersonal skills and a commitment to providing outstanding patient care

n

Knowledge of privacy legislation (Australian Privacy Principles) and medical record management standards

n

Preference for experience supporting multiple surgeons within a fast-paced specialist environment

n





Willingness to provide mentorship and support to junior team members
