Vehicle Delivery Coordinator - BYD Caroline Springs

We are seeking a detail-oriented and customer-focused Delivery Coordinator to manage the end-to-end vehicle delivery process. This role ensures all vehicles are prepared, documented, registered, and delivered to customers in a timely and professional manner.

You will work closely with sales, finance, registration, and PDI teams to ensure a seamless and high-quality customer delivery experience.

About the Role

We are seeking a detail-oriented and customer-focused Delivery Coordinator to manage the end-to-end vehicle delivery process. This role ensures all vehicles are prepared, documented, registered, and delivered to customers in a timely and professional manner.

You will work closely with sales, finance, registration, and PDI teams to ensure a seamless and high-quality customer delivery experience.

Key Responsibilities

Vehicle Delivery Coordination

- Coordinate the full vehicle delivery process from order confirmation to final handover

- Schedule delivery appointments and ensure vehicles are ready on time

- Track vehicle status, including stock availability, PDI progress, and registration completion

Documentation & Compliance

- Ensure all delivery documentation is complete and accurate, including contracts, invoices, and registration paperwork

- Verify compliance with company policies and regulatory requirements

Customer Experience

- Act as a key contact for customers throughout the delivery process

- Provide clear communication on delivery timelines, requirements, and next steps

- Ensure a professional and smooth handover experience





Internal Coordination

- Work closely with Sales, Finance, Warehouse, and PDI teams to ensure delivery readiness

- Coordinate vehicle preparation, accessories installation, and final quality checks

- Escalate any delays or issues that may impact delivery timelines

Reporting & Process Management

- Maintain accurate records in CRM / DMS systems

- Track delivery schedules and provide updates to internal stakeholders

- Support continuous improvement of delivery processes

What We’re Looking For

Required

- Previous experience in administration, coordination, or customer service roles

- Strong organisational and time-management skills

- High attention to detail, particularly with documentation

- Excellent communication and customer service skills

- Ability to manage multiple tasks in a fast-paced environment

Highly Regarded

- Experience in automotive dealerships or vehicle delivery
