Based in Campbellfield, you’ll join a small finance team and report directly to the Chief Financial Officer. You’ll help maintain reliable financial records, support cash collection and credit control, and work closely with colleagues across the business to keep day-to-day operations running effectively.

Accounts receivable and customer accounts
You’ll manage the detail behind accurate invoicing, payment allocation and responsive customer account support:
Process and reconcile daily customer payments, allocating receipts accurately in the ERP system, currently AREL Atoms.
Prepare, issue, upload and distribute customer invoices and credit notes accurately and on time.
Prepare and issue monthly debtor statements and respond promptly and professionally to customer account enquiries.
Maintain complete customer account records, supporting documents, and electronic and physical filing.
Investigate and resolve payment allocation issues, invoice discrepancies, short payments, claims and other account queries.
Liaise with freight providers and internal staff to confirm deliveries, obtain proof of delivery and resolve dispatch-related invoice queries.
Process customer refunds and account adjustments after obtaining the required approval.
Collections, credit control and debtor reporting
Your professional communication and follow-through will help maintain customer relationships while keeping collections on track:
Monitor overdue accounts, contact customers for payment and document collection activity and agreed actions.
Prepare and maintain aged debtor reports, reporting overdue balances, disputes, collection risks and credit exposure to management.
Escalate material overdue debts, disputed accounts and payment risks in line with internal procedures and management direction.
Process new credit account applications, obtain trade references and credit information, and prepare applications and recommendations for approval.
Maintain approved customer credit limits and payment terms, identifying accounts that need review.
Reconcile debtor balances and help maintain accurate records of sales revenue and customer account movements.
Debtor funding and trade credit insurance
You’ll also support the arrangements that help protect cash flow and manage credit risk:
Administer the debtor funding facility, including daily reconciliations, transaction checks, compliance information and monitoring facility limits.
Liaise with the funding provider to resolve discrepancies and help maintain the timely flow and availability of funds.
Administer trade credit insurance arrangements, including policy records, debtor-limit requests and monitoring, declarations, claims documentation and compliance information.
Prepare debtor funding and trade credit insurance information and reports for management, providers and auditors.
Assist with debtor funding audits and related finance reviews.
Banking, financial records and month-end
This position offers meaningful involvement in the wider accounting cycle:
Perform daily and month-end bank reconciliations and investigate unreconciled or unusual items.
Record finance transactions accurately in the ERP and maintain supporting records.
Assist with year-end reconciliations and other finance reviews.
Follow approval requirements, finance procedures and internal controls.
Support monthly management accounts and regular financial reports with accurate schedules, reconciliations and supporting information.
Prepare and enter routine month-end journals for review and approval, checking supporting information against the ERP and relevant ledgers.
Maintain the fixed asset register, record approved additions and disposals, calculate depreciation and reconcile the register to the general ledger.
Maintain supporting ledger schedules and investigate discrepancies affecting financial record accuracy.
Complete daily, weekly and monthly reconciliations for related entities and intercompany accounts, including confirming and following up differences.
Assist with intercompany adjustments and eliminations for month-end reporting.
Sales reporting, budgets and system improvements
Your work will help management understand results and improve the quality of financial information:
Prepare daily, monthly, quarterly and annual sales reports from AREL, checking completeness and accuracy.
Compare sales and debtor results against prior periods and budgets, identify material differences and provide explicit explanations to management.
Provide debtor, collection, sales and working-capital information to Sales Management, the CFO and other authorised managers.
Support budgets, forecasts and financial models by preparing and updating requested data and schedules.
Assist with ERP upgrades, migration, testing and system improvements, including the current AREL upgrade program.
Help improve finance processes, reporting accuracy, automation, document control and data quality.
Maintain orderly finance records and archive documents in accordance with retention requirements.
Protect confidential customer, banking, employee and business information, disclosing it only to authorised people.
General office and team support
As part of a small team, you’ll contribute to the practical tasks that keep the office operating smoothly:
Provide reasonable finance and office support connected with the role, including incoming calls, filing and archiving.
Collect mail from the PO Box and the mailbox outside Head Office, open and distribute incoming mail, and arrange outgoing mail.
Open the front door locks when first to arrive and close and secure them when last to leave.
Switch the telephone system to night mode at the end of the working day when required.
Attend relevant internal meetings and work cooperatively across departments.
Carry out other reasonable duties connected with the position or business operations, within your skills, competence and training.
What you’ll bring
You’ll be accurate with numbers, confident speaking with customers and organised enough to manage competing priorities and regular deadlines.
Sound understanding of accounts receivable, credit control, reconciliations and routine accounting processes.
Strong numerical accuracy and attention to detail, with a methodical approach to investigating differences.
Ability to prepare transparent debtor, sales and reconciliation reports and explain relevant issues to management.
Confident, respectful communication with customers, service providers and colleagues, including when following up overdue accounts.
Competence in Outlook, Word and Excel, including practical spreadsheet use for reconciliations and reporting.
Ability to work independently and contribute effectively within a small finance team.
Reliability, accountability, professionalism, integrity and discretion.
A practical, organised approach and willingness to follow issues through to resolution.
A customer-focused, cooperative attitude and openness to process and system changes.
Preferred experience and qualifications
At least three years’ relevant experience in accounts receivable, debtor management and accounting support is preferred.
Experience with debtor funding facilities and trade credit insurance is highly regarded.
Experience using ERP or accounting systems such as AREL, Priority, MYOB or comparable systems is highly regarded.
Experience in manufacturing, wholesale, distribution or another transaction-focused environment is highly regarded.
Experience supporting month-end reconciliations, journals, fixed asset records and intercompany accounts is desirable.
A qualification in accounting, commerce, business or a related field is beneficial but not essential. Relevant practical accounts receivable and general accounting experience may be accepted instead.
What success looks like
Customer payments, invoices and account adjustments are processed accurately and on time. Overdue accounts receive consistent, professional follow-up, and reconciliations, reports, schedules and month-end tasks meet agreed deadlines.
You’ll investigate account queries promptly, elevate unresolved or material issues, and maintain complete, secure and confidential records that support management review and audits. Internal controls, approval limits, credit procedures and lawful management directions must be followed.
Employment conditions and role scope
Employment conditions will be governed by the employment contract, any applicable modern award or enterprise agreement, the National Employment Standards and applicable legislation. The applicable industrial instrument, classification and minimum entitlements will reflect the work performed and the required skill, autonomy and responsibility.
