Trinity Grammar School is seeking an organised, adaptable and service-focused Administration Assistant, Operations to support the smooth running of our Field Studies Centre at Woollamia on the NSW South Coast.
n
This is a rewarding chance for an experienced administration professional who is looking for meaningful part-time work in a collaborative and distinctive educational workplace. Working 15–20 hours per week, you will provide high-quality administrative, information and student services support to the Centre's management team.

The Field Studies Centre provides Year 9 students with an immersive residential experience that brings together academic learning, outdoor education, pastoral care and social-emotional development. In this dynamic environment, your strong organisation, accurate recordkeeping and transparent communication will help maintain continuity across the Centre's academic, residential and operational functions.

About the role
n
Reporting to the Head of Campus, Field Studies Centre, you will:
n
n
- Provide accurate,
confidential and timely administrative support to the Centre's management team.
n
- Manage shared calendars, meetings, schedules, correspondence, minutes, reports and action registers.
n
- Coordinate routine student services administration across student arrival, time on campus and departure.
n
- Maintain attendance, leave, movement, visitor, appointment and transport records.
n
- Support family communications relating to program administration, travel and required documentation.
n
- Maintain daily operational records and prepare clear handovers for authorised staff.
n
- Coordinate routine bookings, purchasing documentation, invoices, service requests and administrative supplies.
n
- Liaise with School departments, approved contractors and service providers.
n
- Use Microsoft 365 and the School's approved administration and document-management systems effectively and securely.
n
- Provide limited short-term front-of-house or operational support when directed, appropriately trained and available.
n
n
The position supports administration and coordination but does not carry responsibility for ongoing student supervision, clinical care, residential behaviour management, pastoral case management or technical outdoor education decisions.

About you
n
You will bring:
n
n
- A Certificate IV in Business Administration, Education Support or a related field, or equivalent demonstrated experience.
n
- Experience supporting multiple leaders or functions within a complex, service-focused environment.
n
- Strong organisational skills and the ability to manage competing priorities with sound judgement.
n
- Excellent written and interpersonal communication skills.
n
- A high level of discretion and a commitment to confidentiality.
n
- Confidence using spreadsheets, shared calendars, recordkeeping and document-management systems.
n
- The ability to work independently while contributing positively to a collaborative team.
n
- A practical, calm and responsive approach to changing operational needs.
n

The successful applicant will be required to hold:

- A valid NSW Working With Children Check in employment status.
n
- Current First Aid and CPR certification.
n
- The capacity to occasionally vary working hours for agreed operational needs.

Preferred commencement: 12 October 2026
n The starting salary will be based on an annual gross salary of $81,360 p.a (hourly rate $41.06) plus 12% superannuation.
n The campus operates 24/7 during term time. However the actual hours of work for this position will be negotiated with the successful applicant.
