About the Role
This is a hands‑on role with a strong focus on client enquiries, sales, scheduling and administration.
You will often be the first point of contact for new and existing clients, so you'll play an important role in creating a positive first impression and helping families understand our services and next steps.
Your day‑to‑day responsibilities will include:
- Responding to new client enquiries via phone, email and other communication channels
- Following up leads and enquiries to help convert prospective clients into bookings
- Maintaining timely follow-up with prospective clients to ensure enquiries are progressed and opportunities aren't missed
- Making outbound calls to prospective and existing clients
- Understanding client needs and explaining our services clearly and professionally
- Booking and coordinating client appointments with our clinicians
- Managing clinician calendars and adjusting schedules when required
- Handling incoming and outgoing phone calls and general enquiries
- Managing client emails and ensuring enquiries are responded to promptly
- Following up outstanding information, referrals and bookings
- Maintaining accurate client and enquiry records
- Supporting invoicing and billing administration
- Liaising with clinicians, families, referrers and other stakeholders
- General office administration and data entry
- Identifying operational issues and taking initiative to resolve them
A day in the role
No two days will be identical. You might start the morning responding to new client enquiries, follow up a prospective family by phone, coordinate several clinician appointments, respond to client emails and then work through outstanding bookings or referrals.
You'll need to be comfortable moving between calls, emails, scheduling and administration while keeping clients informed and ensuring nothing falls through the cracks.
This Is a Great Role If You...
We are looking for someone who enjoys people, communication and getting things done.
You will ideally have:
- Previous experience in administration, customer service, sales, reception, coordination or operations
- Confidence making and receiving regular phone calls and speaking with a wide range of clients
- A natural ability to build rapport and communicate with clients
- Strong written communication and email skills
- Excellent organisation and attention to detail
- The ability to manage multiple enquiries and priorities at once
- A professional and friendly phone manner
- Confidence following up leads and having conversations about our services
- The ability to work independently, identify what needs to be done and follow tasks through to completion
- Positive computer literacy and confidence learning new systems
- Previous allied health, healthcare or NDIS experience is highly regarded but not essential
This isn't a traditional administration role. A significant part of the position involves responding to new enquiries, following up prospective clients and helping convert enquiries into booked appointments.
Sales or customer service experience will be particularly valued. You don't need to be a traditional salesperson, we are looking for someone who can listen to what a client needs, communicate confidently and help them take the next step.
