About the Role
Work alongside our surgeon, optometrists and wider team to coordinate patient appointments and care, provide high-quality administrative support and help deliver an exceptional patient experience throughout their journey with VSON.
We are looking for someone who can work confidently and independently, manage competing priorities, use initiative and take ownership of their responsibilities.
This is an ideal opportunity for an experienced medical receptionist or medical administration professional who enjoys a varied role,
values excellent patient service and wants to continue developing their skills within a specialist healthcare environment.
Key Responsibilities
- Welcome patients and help coordinate the day-to-day flow of reception and front-office operations.
- Answer and manage patient enquiries by phone, email, SMS and in person, providing a professional and timely response.
- Build genuine rapport with patients and ensure they feel welcomed, informed and supported throughout their experience with VSON.
- Coordinate assessments, consultations, surgery and follow-up appointments, including associated administration and documentation.
- Manage appointment changes, cancellations, waitlists and proactive patient follow-up.
- Process patient payments and maintain accurate patient information and records.
- Manage CRM workflows, follow-ups and outstanding tasks to ensure patient communication is completed in a timely manner.
- Support patient flow and administration during busy consulting, surgery and laser clinic days.
- Work closely with our surgeon, optometrists, clinical and administration teams to support smooth day-to-day clinic operations.
- Take ownership of administrative tasks and follow them through to completion, escalating issues when required.
- Help maintain a professional, organised and welcoming reception environment.
- Identify opportunities to improve administrative processes, patient flow and the overall patient experience.
About You
We are looking for someone who is positive, organised, adaptable and genuinely enjoys working with people.

Ideally, you will have:
- Strong experience in medical reception, medical administration or specialist healthcare administration.
- Confidence working in a busy medical reception and front-office environment while managing patient enquiries and competing priorities.
- A warm, professional and confident communication style with the ability to build genuine rapport with patients.
- Strong organisational skills and excellent attention to detail.
- The ability to work independently, use initiative and take ownership of your responsibilities.
- A calm, adaptable and solutions-focused approach in a busy clinical environment.
- Strong computer skills and confidence learning new systems and processes.
- Experience using practice management systems.
- A genuine team approach and willingness to support colleagues when required.
- Good judgement and the ability to recognise when an issue needs to be escalated.
- An interest in improving processes and finding better ways of doing things.
- A genuine interest in learning, developing professionally and taking on greater responsibility over time.
Experience within ophthalmology, surgical administration or another specialist medical environment would be highly regarded.
Experience with CRM platforms, Medicare, private health funds and surgical bookings would also be highly regarded.

Hours & Location
The role will be primarily based at VSON in Fortitude Valley.
Our team works together to provide consistent coverage across our key patient and clinic times.
Our laser surgery lists are held on selected evenings, and this role will include occasional evening shifts when rostered. These shifts are shared across the team and planned in advance.
Occasional Saturday shifts may also be required to support scheduled clinics.
We work collaboratively across the team to provide flexibility while ensuring our patients and clinics are well supported.
Remuneration
$35–$40 per hour, commensurate with experience and skills.
