Office Manager for Paediatric Therapy Clinic

Hours: Full-time 38 hours

We offer some flexibility in how the 38-hour working week is structured. Two potential roster options are:

Option 1:

Monday 7:45-5:15

Tuesday 7:45-5:15

Thursday 7:45-5:15

Friday 7:45-1:45

Option 2:

Monday 9-5:15

Tuesday 9-5:15

Thursday 9-5:15

Friday 9-4:30

Pay: $85,000- $100,000 package (inc of super), depending on experience

As we continue to grow and enhance the quality of our services, we are seeking a passionate and experienced Office Manager to join our dynamic team.

The Role

The Office Manager will play a critical leadership role in refining and improving our policies and procedures, managing client relations and new bookings, and ensuring the seamless operation of our programs. This position involves working closely with both our therapy team and the families we serve, providing a vital link that supports the successful delivery of our services.

Key Responsibilities

- Manage and coordinate therapists’ schedules
- Refine and improve existing policies and procedures to enhance operational efficiency
- Manage client relationships, including handling new bookings,



inquiries, and feedback
- Answer phones and emails promptly, providing exceptional customer service
- Liaise between therapists, families, and external partners to ensure effective communication
- Assist in the development and implementation of strategies to expand our business
- Oversee the successful organisation and scheduling of our therapy programs.
- Contribute to team efforts by accomplishing related tasks as needed.
- invoicing & billing clients
- keeping accounts up to date

Qualifications

- Proven experience in reception and administration, preferably within the allied health field.
- Exceptional organisational skills and the ability to multitask effectively.
- Strong interpersonal and communication skills, with a focus on customer service.
- Kind, personable, and empathetic, with a passion for helping children and their families.
- Ability to work independently and communicate effectively with our team
- Prompt, efficient, and able to handle a fast-paced work setting.
- Robust leadership skills and teamwork
