Operations & Service Coordinator - Plumbing Services
Our client is a well-established plumbing business based in North Coburg. With over 30 years of experience across maintenance plumbing and Owners Corporation services, they have a strong understanding of the operational demands involved in managing multiple stakeholders, coordinating priorities, and maintaining clear and effective communication.
As the Operations & Service Coordinator, you’ll be joining a close-knit team of 5 tradespeople, supported by the Director and office staff, working collaboratively to deliver high-quality service
About the Role
We are seeking a proactive and capable Operations & Service Coordinator to support the day-to-day running of our operations. This role is central to keeping our workflow running smoothly, ensuring jobs are scheduled efficiently, systems are maintained, and communication between customers, field staff, and management is explicit and effective.
Working closely with the Director and a small team of tradespeople, you will take ownership of our job management system (Aroflo), coordinate scheduling and job flow, and provide administrative and operational support across the business.
This is a dynamic, fast-paced role suited to someone who enjoys problem-solving, learning new systems, and taking initiative to improve processes.
Key Responsibilities
- Manage incoming calls, emails, and customer enquiries in a professional manner
- Enter and maintain job work orders, quotes, and client details in Aroflo
- Schedule jobs, allocate tasks to field staff, and coordinate access requirements
- Monitor job progress and ensure timely completion and accurate documentation
- Review completed jobs (labour, materials, photos, descriptions) for accuracy
- Prepare and issue invoices to clients
- Coordinate project work,
including booking subcontractors and organising permits (e.g. Before You Dig)
- Liaise with customers, suppliers, and tradespeople to ensure smooth job delivery
- Provide ongoing support to field staff with job, system, or customer-related queries
- Identify opportunities to improve workflows and system use
- Stay up to date with Aroflo updates and processes, and share knowledge with the team
- Perform general administrative and ad hoc tasks as required
Skills & Attributes
- Previous experience in an Operations, Service Coordinator, or Administration role
- Experience in trade or service-based industries highly regarded, including plumbing, electrical, construction, facilities management and maintenance, transport, logistics, or field service businesses
- Strong computer skills, including Microsoft Office (Outlook, Word, Excel) and ability to learn new systems (Aroflo experience highly regarded)
- Excellent organisation and time management, with the ability to prioritise multiple tasks
- Confident communicator, able to deal professionally with customers and trades
- Proactive and self-motivated, with a willingness to learn and improve processes
- Adaptable and resilient in a fast-paced, changing environment
- Strong attention to detail and problem-solving ability
What’s on Offer
Attractive salary $80000- $90000 plus super negotiable
Monday to Friday, 8:00am - 4:00pm
