NSN Electrical is looking for a switched-on Office Administrator to join our growing electrical contracting business.

This role is perfect for someone who enjoys keeping things organised, helping jobs move smoothly, supporting a busy team and being part of a workplace with energy, structure and genuine appreciation.

You won't be left to run everything on your own. You'll work closely with our Operations Manager, Sales Manager, Director and field team, with clear systems, support and guidance around you.

This is a role for someone who wants to be more than "just admin", without being thrown into the deep end.

About the role

This is a key office support role across scheduling, accounts administration, client communication, job management and team coordination.

You'll help keep the day-to-day flow of the business running smoothly by making sure jobs are booked, clients are followed up, quotes and invoices are finalised, payments are checked, records are updated and the right information is passed between the office, management and field team.

You'll be working alongside the Operations Manager, Sales Manager and Director — not replacing them. Your role is to help keep communication, admin and follow-up moving so the wider team can perform at their best.

It's a varied role, but not a dumping ground. We have systems in place, a team around you and a business that genuinely values structure, communication and follow-through.

This is a full time, permanent position based from our office/factory in Melbourne.

What you'll be doing

In this role, you'll help support the daily flow of the business by:

- Assisting with job bookings, scheduling updates and client confirmations through Ascora
- Uploading new jobs, converting approved quotes into jobs and keeping records up to date
- Finalising completed quotes and invoices ready to be sent to clients
- Reconciling paid invoices and helping follow up outstanding payments or deposits
- Managing admin and operations emails, including client replies and follow-ups
- Supporting the Operations Manager with scheduling, materials, stock checks, van checks and toolbox meeting coordination




- Supporting the Sales Manager with approved quote follow-ups, client updates and reporting
- Checking field staff timesheets and hours against Ascora tracker records
- Helping keep the office/factory organised, welcoming and running smoothly
- Coordinating office supplies, team breakfasts, client gifts and occasional team activities

About you

You may already be working in administration, accounts support, scheduling, customer service, office support or a trade/service-based business.

You're good at what you do, but you might be ready for a workplace with better energy, stronger systems, clearer communication and more appreciation.

We're looking for someone who:

- Is organised, reliable and detail-focused
- Communicates clearly and professionally by phone and email
- Enjoys working with systems, checklists and clear processes
- Can manage multiple priorities without losing track of the details
- Is confident following up clients, payments, bookings and outstanding information
- Likes being part of a team, not hidden away in the background
- Is comfortable supporting managers and helping different parts of the business stay connected
- Has a positive, friendly and team-focused attitude
- Takes ownership of their work and follows tasks through to completion
- Wants to be part of a business that is growing and improving
- Has less than 1 year of payroll experience with strong general administration skills
- Possesses processing and reconciling experience in accounts payable

Experience in trades, construction, property management, real estate, maintenance or a service-based business would be highly regarded, but it is not essential for the right person.

- Microsoft Excel
- SafetyCulture
- Email and calendar systems
- Microsoft Office or Google Workspace
- Essential experience with Xero accounting software

Training can be provided,



but you must be confident using computers and learning new systems.
