An exciting opportunity is available for an experienced Governance / Secretariat Support Officer to join a Governance & Executive Services team. Reporting to the Senior Manager, Governance and Executive Services, you will play an important role in supporting executive governance processes and strategic decision-making.
n This position offers flexible working arrangements, including some work-from-home opportunities.
n About the Role This role provides secretariat and administrative support within the Governance & Executive Services function, with primary responsibility for supporting weekly Executive Leadership Team meetings and other key governance forums.
n
Key responsibilities include:
n
n
- Providing end-to-end secretariat support for executive meetings, including scheduling, agendas, papers and meeting logistics.
n
- Attending meetings and preparing accurate, comprehensive minutes that clearly capture discussions, decisions and actions.
n
- Maintaining action and decision registers and following up stakeholders to support timely completion of actions.
n
- Supporting a range of strategic meetings and governance activities.
n
- Managing governance records, templates, meeting files and document repositories.
n
- Assisting with the development, review and maintenance of governance procedures, guidelines and documentation.
n
- Providing general administrative support, including correspondence, document preparation and records management.
n
- Handling sensitive and confidential information with professionalism and discretion.
n

About You
n To be successful in this role, you will demonstrate:
n
n
- Previous experience providing secretariat, governance or executive support services.
n
- Exceptional minute-taking skills with the ability to produce transparent, accurate and timely documentation.
n
- Strong organisational skills with excellent attention to detail.
n
- Highly developed written and verbal communication skills.
n
- The ability to build effective working relationships with executives and senior stakeholders.
n
- Strong time management skills and the ability to manage competing priorities.
n
- Proficiency in Microsoft 365 applications, including Outlook, Word and Teams.
n
- Professional judgement, initiative, flexibility and a high level of confidentiality.
n
