The Role

As the Fleet Coordinator, you will play a critical role in managing BHAC’s diverse light vehicle (LV), heavy vehicle (HV), and mobile equipment fleet while providing remote hands-on operational support to the mechanical workshop. This role bridges logistics, process, compliance, and workshop administration. You will take end-to-end ownership of fleet lifecycle management, from servicing schedules, registration compliance, and pre-start systems to the rollout and administration of modern management tools like ServiceM8 and centralised Fleet Management Systems.

Key Responsibilities

- Strategic Fleet Management: Lead the BHAC-wide rollout, implementation,



and administration of a centralised Fleet Management System as the internal superuser, ensuring assets are fully optimised for remote operational demands.
- Scheduling & Preventive Maintenance: Coordinate proactive, streamlined servicing, maintenance schedules, and repairs for all fleet and mobile assets in collaboration with the workshop team and external contractors.
- Compliance & Safety: Manage maintenance and regulatory compliance, ensuring strict adherence to registration, licensing, roadworthiness, and safety standards across all vehicles and heavy machinery.
- Workshop Administration & Finance: Oversee day-to-day workshop workflows, manage basic accounting activities (processing invoices, tracking parts expenditure, raising purchase orders), and champion electronic job card adoption (such as ServiceM8 via iPads).
- Workforce Education: Deliver practical education and training programs for the broader workforce regarding proper vehicle handling, daily pre-start system processes, defect reporting, and responsible asset care.

About You:

- Demonstrated experience in fleet management and/or administration, including an understanding of basic accounting processes and practices.




- Proven capability and adaptability in working with fleet management software and workshop job-management platforms (such as ServiceM8).
- Solid understanding of light and heavy vehicle maintenance requirements, preventive maintenance frameworks, safety compliance, and pre-start systems.
- Solid administrative and organisational skills, with high-level competency using Microsoft Office and digital asset platforms.
- Outstanding communication and problem-solving skills, with the ability to liaise effectively with mechanics, suppliers, and diverse internal stakeholders.
- Ability to demonstrate cultural competency and work respectfully with Aboriginal and Torres Strait Islander people and communities.
- Ability to travel to Maningrida frequently on small aircraft as required.
- Mandatory Clearances & Licenses:
- Current Australian C-Class Driver’s Licence.
- National Police Check.
- Working with Children Clearance (Ochre Card) or ability to obtain.
- Ability to obtain and maintain a Northern Land Council (NLC) permit.
