Position Overview

Reporting to the Senior Program Manager, the Project Officer provides program coordination, governance and reporting support for the Recording and Transcription (R&T;) Program.

The position supports delivery across the Program’s five workstreams by maintaining integrated plans, governance materials, risks, issues, actions, decisions, dependencies, financial information and perks records. The role works with multidisciplinary teams, including business, operational, digital, technology, information management, finance, procurement, legal, change and assurance specialists.

The Project Officer is critical to ensuring that program information is accurate, current and visible; governance activities are well coordinated; and agreed actions and decisions progress within required timeframes. The successful candidate will be organised, adaptable and able to produce concise, decision-ready materials in a complex cross-Court environment.

Key Responsibilities and Duties

- Provide day-to-day coordination and administrative support to the Senior Program Manager and R&T; workstream leads.
- Maintain the integrated program plan, roadmap, milestone schedule and supporting workstream information, ensuring dependencies, sequencing and delivery dates are accurately recorded.
- Maintain program registers, including risks, issues, assumptions, dependencies, actions, decisions, changes and lessons learned.
- Monitor actions, milestones and deliverables across the Program, follow up responsible officers and escalate emerging delays, blockers or exceptions.
- Coordinate governance meetings, including scheduling, agendas, papers, presentations, minutes, action registers and decision records.
- Develop concise and accurate governance packs, status reports, briefing materials and executive correspondence for the Program Board, Steering Committee and advisory bodies.
- Coordinate the collection and validation of program information from workstream leads, operational teams, corporate areas and delivery partners.
- Support program financial management by maintaining budget records, forecasts, commitments, actual expenditure and variance information in consultation with Finance and responsible officers.
- Maintain benefits, outcomes and performance information, including baselines, measures, evidence and progress against approved program objectives.
- Support change control by documenting proposed changes to scope, schedule, cost, resources and delivery approach and ensuring they are progressed through the appropriate governance process.
- Maintain controlled program records, templates and document repositories in accordance with information-management, privacy and security requirements.
- Identify opportunities to improve processes, reporting quality, information management and team efficiency.




- Communicate with stakeholders across geographically dispersed Court, operational and technology teams to ensure priorities, responsibilities and deadlines are understood.
- Provide flexible coordination support across workstreams and assist with capability or capacity gaps as program priorities evolve.

Selection Criteria

- Project coordination: Demonstrated ability to coordinate projects or programs in a complex environment, including maintaining plans, milestones, actions and delivery records.
- Governance and reporting: Experience preparing accurate, concise and decision-ready governance papers, status reports, briefings, minutes and executive presentations.
- Planning and control: Demonstrated ability to maintain RAID registers, decision logs, dependencies, change records and other project-control artefacts.
- Organisation and prioritisation: Strong administrative and organisational skills, with excellent attention to detail and the ability to manage competing priorities and deadlines.
- Stakeholder engagement: Highly developed written and verbal communication skills, with demonstrated ability to work collaboratively with diverse business, operational, technical and executive stakeholders.
- Analysis and problem solving: Ability to analyse program, schedule, financial and performance information; identify emerging issues; and support evidence-based recommendations.
- Initiative and adaptability: Demonstrated ability to work under broad direction and independently, exercise sound judgement and respond constructively to changing program requirements.
- Digital working environment: Demonstrated experience working effectively with geographically dispersed, multidisciplinary teams using contemporary collaboration and project-management tools.

Desirable Experience

- Experience working within a PMO, digital transformation, technology or service-modernisation program.
- Familiarity with Agile and traditional project-delivery methods.
- Experience supporting project budgets, forecasts, benefits tracking or procurement activities.
- Experience with Microsoft 365 tools, including Excel, PowerPoint, SharePoint, Teams and project-planning or reporting applications.
- Understanding of Australian Government governance, records-management or Digital Service Standard requirements.

Other Requirements

Relevant industry experience or certifications (CAPM, PRINCE2 Foundation or equivalent) would be well regarded.

Salary

$99,734 - $111,701 per annum, plus 15.4% superannuation.

Eligibility

Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:

1. Australian citizenship – the successful applicant must hold Australian citizenship.
2. Security and character clearance – the successful applicant must satisfy a Police Records Check and may also be required to complete security clearances during the course of their employment.
3. Successful applicants engaged into the APS will be subject to a probation period.
