Job Description

Manage day‐to‐day clinic operations to keep workflows smooth and consistent.
n
Lead and support the reception, admin, and bookings team, helping them stay organised and confident on busy days.
n
Review, refine, and improve processes around patient flow, scheduling, and administration.
n
Oversee billing, invoicing, financial consent processes, and ensure accuracy of patient records.
n
Coordinate clinician schedules, consulting rooms, and (where relevant) surgical bookings.
n
Maintain compliance with healthcare standards, privacy requirements, and internal policies.
n
Build strong working relationships with clinicians, referrers, hospital partners, and service providers.
n




Identify opportunities to streamline operations and support the clinic's longer term goals.
n

The Successful Applicant
n
n
3-5+ years experience as a Practice Manager or senior admin lead in a
specialist/surgical
practice (neurosurgery, orthopaedics, cardiology, ENT, etc.).
n
Strong leadership experience supporting reception, admin, billing, and surgical bookings teams.
n
Solid understanding of Medicare, private health billing, informed financial consent, and debtor management.
n
Experience coordinating surgical bookings and managing pre/postoperative administration.
n
Confidence with practice management software such as Genie, Gentu, or Bluechip.
n
Someone calm, organised, outstanding with people, and able to handle escalations smoothly.
n

Competitive salary between $95,000 and $105,000 AUD.
